Job Description

PMC is looking for an energetic and motivated Office Administrator to join our growing team.We’re looking for someone who has a great attention to details, likes to take initiative with assignments, and is a team player interested in gaining experience in the Construction and HVAC IndustryKey Responsibility AreasThe ideal candidate is highly motivated with a proactive can-do attitude, a proficient communicator, successful at managing internal and external customer expectations, goal oriented and committed to providing the best support possible to ongoing objectives of the company.Responsibilities:

  • Assistance with reception – Duties will include greeting customers, effectively managing phone calls and correspondence (email, letters, packages, etc.).
  • Point of contact for service technicians, issuing purchase orders and work orders for our field staff.
  • Data entry responsibilities, working with our ERP system, updating databases and records.
  • Processing Accounts Payable Invoices: - Receiving and processing of all invoices, including verification of approvals, matching to supporting documents, coding, and input-Preparation of aging report and cheque run on a weekly basis- Reconciliation of vendors monthly statements - Maintaining vendor files, including set-up of new vendors -Contacting vendors as required - Communicate effectively with all appropriate operational departments - Response and resolution of all inquiries and issues relating to accounts payable - Ensure information is entered in a timely fashion
  • Working with Office 365 suite of applications.
  • Update and maintain both electronic and paper filing management systems.
  • Other administrative tasks as assigned.
Skills:
  • At least two years of relevant experience
  • Strong knowledge and understanding of Accounts Payable processes
  • Strong organizational skills and a high level of attention to detail and accuracy
  • Great interpersonal & communication skills, both oral & written.
  • A positive and energetic attitude
  • Strong problem-solving skills
  • Experience in using computerized accounting software is required
  • Experience with Jonas Construction Software is considered an asset.
  • Ability to handle multiple priorities while maintaining responsiveness.
  • Well-developed interpersonal skills, team player.
  • Excellent organizational and time management skills.
  • Ability to work independently.
