We are looking for those who have the courage and confidence to be humble; the self-motivated, ambitious professionals who are hungry; and those who never lose sight of their intuition, emotional intelligence, or the unequivocal impact of being people smart.Reporting to the Project Director, the Project Coordinator is accountable for assisting with documentation, submittals, day-to-day activities, and project administration duties while supporting to minimize the task work completed by the Project Manager, Estimator and Superintendent.This position is based in Kent Kill, NB.MonctonResponsibilitiesConstruction Management

  • Change order pricing and documentation.
  • Obtaining and processing of all submittals.
  • Document management and control.
  • Drafting meeting minutes, contracts and correspondence.
  • Ensure accurate and timely project administration including pricing change orders, tracking requests for information, processing of shop drawings, document control, and communication to all stakeholders.
  • Work closely with project team members and other stakeholders to identify, develop, implement, and support cost-effective project delivery.
  • Educate Project Managers, Estimators, and Superintendents in project administration.
  • Maintain effective verbal and written communications to ensure all stakeholders are informed and up-to-date.
Relationship Management
  • Develop new relationships with clients, consultants, suppliers and trades.
  • Enhance relationships with existing clients, consultants, suppliers and trades.
Project Coordination
  • Process RFI and shop drawing submissions and other project related documents in a timely manner and maintain up-to-date and accurate tracking logs.
  • Track and manage timesheets for project resources.
  • Generate and manage the review and issuance of Subcontract Agreements ensuring all relevant documentation is provided and meets company requirements.
  • Follow up with trades to obtain all relevant contract documentation, review and ensure Bonds and Certificates of Insurance are accurate and adhere to company requirements.
  • Process all change management documentation.
  • Maintain organized project files in accordance with the project file structure.
  • Attend meetings and record and distribute meeting minutes to stakeholders.
  • Expedite or coordinate information submitted by owner, consultants, trades and suppliers.
  • Assist with Operations and Maintenance (O&M) Manuals at closeout.
  • Assist project team members by taking initiative to minimize and complete tasks and ensure accurate document control practices and procedures are followed.
  • Support with the preparation and execution of overall work plan and schedule.
  • Maintain up-to-date, accurate documents for the project including drawings, plans, submittals, document logs, purchase orders, etc.
Qualifications
  • Undergraduate degree or diploma related to project administration and/or coordination.
  • Eligible for, or have attained, E.I.T., P. Eng., CET, or PQS designations.
  • 1 year experience working in a project capacity.
  • Ability to forge, grow and maintain positive relationships.
  • Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment.
  • Ability to work within tight deadlines and prioritization of work to achieve them.
  • Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail.
  • Highly developed interpersonal, communication, and organizational skills.
  • Sense of urgency and strong commitment to achieving goals; ability to work in challenging, fast paced environment.
  • Ability to work collaboratively with a positive attitude.
  • Superior written and verbal communication skills.
