Job Description

Job summary:Reporting directly to the VP Operations/Head of Nashville, the Administrative Assistant will provide a full range of administrative support to the Nashville operation.Your day will look like this:

  • Support the VP Operations with scheduling, creating meetings, travel arrangements
  • Preparing letters, memos, and other documents
  • Assisting in preparation of presentations
  • Answering and transferring phone calls when needed
  • Maintain calendar of Nashville meeting rooms and customer visits
  • Organizing and assisting with expense reports for key Nashville employees
  • Interfacing with management and other personnel and other Solotech offices
  • Maintain appropriate levels of office and breakroom supplies
  • Maintain a record of all office & operational equipment leases
  • Assist with coding of Nashville invoices and create purchase requisitions in D365
  • Assist with scheduling maintenance and/or service of office and operational equipment
  • Timekeeping across Nashville, and supporting other offices timekeeping when needed
Your profile:
  • Post-secondary education in office administration or any relevant training or experience
  • Minimum 2 to 5 years of administrative experience
  • Experience in the industry (an asset)
  • Advanced knowledge of Microsoft Office software packages; specifically Excel, Word and Powerpoint
  • Demonstrating excellent skills to approach customer (internal & external)
  • Excellent communication skills
  • Excellent relational and organizational skills
  • Demonstrate thoroughness and attention to detail
  • Resourcefulness and autonomy
  • A high degree of discretion and confidentiality is required
  • Demonstrate initiative and tact
  • Working autonomously and prioritizing work activities
