Job Description

Work Arrangements15 Hours per week from Monday to Friday.This position is based at the New Westminster Campus and requires work at and travel to multiple Douglas College locations including Coquitlam, Surrey and Burnaby. And we’re looking for passionate, motivated people to join us in making one of Canada’s best colleges even better.The RoleThe Coordinator contributes to the successful delivery of multiple programs for youth and youth at risk. Receiving direction from and working with the Community and Contract Services Programmer (CCSP), the Coordinator is responsible for the daily operation of assigned programs.ResponsibilitiesProgram Coordination:

  • Oversees the day-to-day delivery of assigned programs, ensuring contractual outcomes are met
  • Oversees marketing and participant support budgets ensuring fiscal responsibility and compliance with College and Funder policies and practices
  • Prepares monthly project reports for the CCSP and funder as required
  • Ensures all required program documentation is complete and accurate
  • Supports program staff and ensure they have the training and resources required to do their jobs
  • Responsible for client recruitment and supporting their progress through the programs
  • Supports curriculum development and revisions, ensuring copyright compliance
  • Prepares monthly meeting data and information for staff
  • Ensures the responsible CCSP is kept up to date on all projects
Client services:
  • Ensures the program provides excellent client service
  • Addresses client issues and concerns as they arise
  • Administers and debriefs client assessments
  • Meets one-to-one with participants and makes appropriate referrals to wrap-around services & follows up
  • Supports clients that require specialized services such as essential skills upgrading, mental health counseling, and short-term training certificates
  • Leads workshops when necessary
Administrative Duties:
  • Supports CCSP to ensure the program budgets are managed efficiently and in accordance with program policies and claim deadlines.
  • Ensures employer data is properly stored in CMS
  • Represents Douglas College to community partners and stakeholders
  • Supports the CCSP in community committees, working groups, boards of trade and other partnerships
  • Supports Training Group’s Quality Management System (ISO9001:2015)
  • Coordinates and completes detailed employer needs assessments to inform placements and future programming potential
  • Contributes to proposal writing
  • Assists with other duties as assigned
To Be Successful in this Role You Will Need
  • Bachelor’s Degree or a combination of relevant education and experience
  • Demonstrated experience setting up and coordinating programs
  • Knowledge of labour market program management i.e. outcome tracking, timelines and funder communication
  • Superior problem solving and critical thinking skills
  • Demonstrated excellent verbal and written communication skills
  • Strong time management skills. Able to manage multiple, competing priorities
  • Comfortable working with participants with mental health issues
  • Satisfactory completion of a criminal record check
