Job Description

POSITION PURPOSEThis position is responsible for the daily operations of the Branch warehouse and stockroom including shipping / receiving / stocking, inventory control, compliance and purchasing of assets, parts, tools, equipment, and consumables. Conducts inventory counts, processing and tracking invoices in an enterprise asset management and financial management software system. Assists in conducting vendor sourcing and maintains rotating stock through purchasing.MAJOR RESPONSIBILITIES

  • Coordinates activities to ensure timely and cost-effective requisitioning, purchasing and receipt of necessary goods, tools, parts, supplies, and equipment related to inventory items or minor services for the Branch.
  • Researches and recommends the purchase and storage of tools, parts, supplies and equipment related to inventory items or minor services in consultation with Branch management staff and the Procurement Office.
  • Assists in reviewing and updating specification for goods, parts, and equipment to be purchased.
  • Maintains compliance of warehouse inventory.
  • Obtains price quotations from vendors; compares quotations with the specifications and availability of item and places order in compliance with the Regions Purchasing By-Law.
  • Researches and investigates questionable invoices and packing slips as required by Finance; communicates any discrepancies and works to resolve with necessary parties.
  • Organizes, updates, and retains supplier, product information files and purchase order records following purchasing procedures and guidelines.
  • Follows applicable regulations and standards with respect to the storage and disposal of hazardous and non-hazardous materials.
  • Maintains daily operations of the Branch stockroom and maintains inventory levels.
  • Fills internal inventory requisitions received and arranges for delivery or pick up of stock and maintains records of transactions and manages inventory use through work orders or inventory transfer adjustments.
  • Receives shipments and records goods received and stocks them or executes delivery to the appropriate users.
  • Arranges/processes shipments for stock items and equipment.
  • Utilizes a narrow-aisle reach truck, counter balance forklift and pallet truck to receive, stock and distribute inventory and equipment in the warehouse, stockroom and/or loading docks.
  • Performs daily checks and associated paperwork to ensure that the forklift and pallet trucks are operated and maintained in good working condition.
  • Uses the Inventory Management System and follows industry best practices, procedures, and processes to manage inventory counts, pricing, costs, inventory records, maintenance, procedures, and excess material management.
  • Works with branch teams to manage obsolete or excess materials (vendor returns or disposal).
  • Proactively manages inventory turns to plan optimal inventory levels for items through the supply chain process.
  • Conducts monthly/annual inventory counts and prepares a discrepancy report for management.
  • Reconciles discrepancies in Computerized Work/Asset Management System as a result of the cycle count process.
  • Maintains current Safety Data Sheets (SDS) for any current/new inventory, as required under the Occupational Health and Safety requirements.
  • Compliance with all safety legislation and policies including York Region policies and procedures.
  • Keeps warehouse and stock room neat, clean, and organized.
  • Responds to inquiries and resolves concerns or escalates, as appropriate.
  • Ensures that services provided meet Regional customer service standards.
  • Manages information in accordance with legislation and corporate standards.
  • Performs other duties as assigned, in accordance with Branch and Department objectives.
QUALIFICATIONS
  • Successful completion of a Post-Secondary Certificate/Diploma (1 year or more) in Business Administration, Purchasing or related field or approved equivalent combination of education and experience.
  • Minimum three (3) years work related experience in a computerized inventory control environment, shipping and receiving industry.
  • Valid narrow-aisle reach truck and counterbalance forklift certifications.
  • Valid Ontario Class “G” driver’s license free of serious offences under the Highway Traffic Act.
  • Knowledge of general procurement guidelines and/or purchasing experience such as legal, customs, freight, government regulations, etc.
  • Knowledge of maintenance repair in electrical, mechanical and instrumentation.
  • Supply chain knowledge and experience related to full inventory management.
  • Demonstrated knowledge of computerized parts warehouse functions and associated inventory control procedures.
  • Ability to maintain legible, accurate records of activities and a safe, organized work environment.
  • Ability to understand technical bulletins, manuals, and catalogues to determine parts needed and identify part number.
  • Understands just in time methodology and techniques.
  • Demonstrated ability in the Region’s core competencies.
  • Physical ability to complete job tasks such a climbing ladders, pulling, pushing, and lifting up to 50 lbs.
