The role of the Operations Assistant is to provide administrative support to the (Fox-Revett & Associates Team). The successful candidate is expected to work alongside the Team to proactively support their day-to-day needs, working out of the Newmarket IG office daily. The Operational Assistant must be detail oriented, anticipatory, organized, work independently, and manage confidential information in a fast-paced environment.Responsibilities will include:Client Servicing· Contact and communicate with clients and prospects on a timely basis· Handle incoming calls, voicemail, and email, returning calls as needed. Log interactions in contact database· Maintain an up-to-date servicing schedule, initiate annual review appointments, and arrange follow up meetings (virtual or in-person)Administrative Tasks/Duties· Process trades and establish new or update existing accounts utilizing processing software and DocuSign. Meticulous detail required to ensuring all are logged and followed up on, expediting where necessary, and subsequent contact to clients advising completion· Create and maintain up-to-date mailing lists and client files using CRM platform (Salesforce)· Compose and prepare correspondence for the Consultants, where terminology, grammar and set-up require judgment and skill· Prepare and Review documents and communications that are required to be completed by the Consultants, clients or prospects via email, DocuSign or mail· Run/develop Business Management Reports using Salesforce, Excel· Manage inventory of office supplies, stationery, etc.· Assist with co-ordination of process management within the practice· Help source, create, and prepare presentation and marketing materialThe successful candidate will have the following:· Demonstrate enthusiasm for continuous learning relevant to the role· Post-secondary degree in a relevant business discipline· Two or more years of administrative experience, preferably in the financial services industry· Strong PC skills, including excellent knowledge of Microsoft Office Suite. Financial Planning Services Software, and CRM Platforms (Salesforce) experience an asset· Strong Organization skills, attention to detail and proactively prioritize tasks based on comparative importance and urgency· Strong acumen and ability to work with minimal supervision and direction· Strong telephone and communication skills· Excellent interpersonal skills· Ability to build effective relationships and work collaboratively in a team environment· Knowledge of income tax software very beneficial but not necessaryRequired to be fully vaccinated & ability to be in the office Monday to FridayReference ID: 2021-001Application deadline: 2021-12-31Job Types: Full-time, PermanentSalary: $37,000.00-$42,000.00 per yearBenefits:
