Job Description

Located in the heart of the Niagara Region – just minutes from one of the world’s most well-known tourism destinations – Niagara College offers more than 130 innovative programs between our campuses in Welland and Niagara-on-the-Lake. Since opening its doors in 1967, Niagara College has grown to become a leader in education and training and one of the most enterprising colleges in Canada.Applications are invited for the position of Administrative Assistant to the Senior Director, Global Engagement in the International Division, located at the Daniel J. Patterson Campus. The starting hourly rate is $26.47/hr (Pay Band E - $26.47/hr to $30.69/hr) for a 35 hour work week. Additional hours may be required as necessary. This is an Appendix D, temporary position as per Article 17.3.1 of the Support Staff Collective Agreement and is set to commence in April 2023 and will conclude in April 2024. It may be subject to an extension by mutual agreement of the parties.Reporting to the Senior Director, Global Engagement, the successful candidate will provide administrative support to the Director to ensure the efficient operation of the Department and related operations. The incumbent coordinates all office activities related to the Department by orienting and assisting other staff positions and acts as a liaison with other College departments and with external stakeholders as required. This role is typically the first point of contact for all inquiries to the department for information or issues requiring immediate attention. The incumbent works independently and must exercise initiative and good judgement, sensitivity, and confidentiality in dealing with a variety of clientele, including college staff, the general public, industry representatives, government officials, and community partners.Responsibilities include, but are not limited to:

  • Provides administrative support to the Director by making recommendations and resolving inquiries/concerns from staff, administrative staff, national and international stakeholders and the public
  • Provides research for special projects and initiatives
  • Assists with production of communications materials including department newsletter and website content
  • Investigates, organizes and prepares reports and presentations at the request of the Director
  • Supports the Director and the department in the development and implementation of project budgets, invoicing and other duties as required
  • Provides support to facilitate inbound international groups including but not limited to: event planning, facilitating schedules, meals and other activities as required
  • Supports travel planning/facilitation for the department
Qualifications:
  • Minimum of a Two (2) year diploma in one of the following: any Business program, Office Administration, Humanities, International/Global Development or similar field of study
  • Minimum three (3) years practical experience in office administration in an educational, government, or large business environment to include experience in a cross-cultural environment
  • Strong intercultural communication skills; experience working in a diverse environment or cross-cultural competencies obtained by living abroad
  • Demonstrated communication, organizational, problem solving and prioritizing skills
  • Proven ability to work independently, exercise initiative and good judgement, demonstrate sensitivity and maintain confidentiality
  • Strong customer service and public relations skills
  • Strong working knowledge of Microsoft Office Suite - ability to effectively use Microsoft Excel and collate data for management reports
  • Working knowledge of Peoplesoft considered an asset
