  • Responsible for client service for Appleby facility rentals, events, conference groups and weddings
  • Prepare all client documentation including quotes, contracts, insurance, payment schedules, invoices, and collection follow-up for assigned groups
  • Strategize ways of improving promotion of all facilities, in particular, rentals of AWB and promotion of conference groups and events
  • Optimize rental revenue from all key facilities through problem solving and creative scheduling
  • Work with all program areas of Commercial Activities to confirm the rooming plan for all programs
  • Manage all annual updates to the online registration system (CampBrain), enhancing the registration process where possible
  • Create reports as required including but limited to weekly registration and revenue reports and annual competitive analysis
  • Accurately maintain booking schedules and assigned facilities bookings, produce and distribute appropriate reports to applicable individuals and departments at reoccurring meetings
  • Complete updates to the Commercial Activities web and social media sites
  • Process online summer program applications, connect with families/agents for online forms/documents, track and update registration information for reporting and summer accuracy
  • Book and organize offsite excursions for summer programs including transportation-related logistics
  • Manage on-campus accommodations for conference groups and summer programs, including Appleby Overnight
  • Assist with insurance-related matters for rentals and summer boarding programs including submission of claims, reimbursements, etc.
  • Maintain up-to-date database of rental groups and ESL and CEC agents (including new agent information from Admissions after recruitment trips)
  • Support Appleby New Venture projects as required
  • Responsible for Appleby Camps’ application for the Canada Summer Jobs Grant, provide support to other applicable departments applying as well
  • Monitor and administer applications of ‘local’ international campers in collaboration with Camps team
WHAT YOU BRING
  • Proven administrative experience
  • Post-secondary education is an asset
  • Solid knowledge of Word, Excel, Outlook and PowerPoint.
  • Systems knowledge Sharepoint, Finalsite and CampBrain is considered an asset
  • Bilingual is an asset
