Job Description

Job Title: Office Manager – Dermatology ClinicLocation: OakvilleAt GraceMed our people make us even better, which is why we want you to be a part of our fast-growing organization. Our ideal candidate would be someone who has experience working in a high-volume, patient focused Dermatology clinic.Responsibilities:

  • Plan and monitor the day-to-day running of administration operations to ensure smooth progress
  • Mentor and coach employees through performance management and consistent feedback
  • Ensure practice is providing the appropriate level of patient service including the
resolution of patient concerns/issues
  • Manage relationships/agreements with vendors/pharmaceutical companies
  • Conduct regularly scheduled staff meetings
  • Assign staff members duties and responsibilities and oversee accuracy and completion
  • Maintain organized medical and staff records
  • Prepare work schedules
  • Oversee physician schedules to maximize booking efforts
  • On-board and train new employees
  • Generate inventory records
  • Ensure compliance with current healthcare regulations, medical laws and high ethical standards
  • Maintain office cleanliness and organization
  • Lead by example in terms of professionalism and work ethic
  • Review and approve hours worked by staff by deadline
  • Align to provide open and candid communication within the department
  • Provide additional administrative support where needed
Skills and Experience:
  • Proven experience as a Medical Office Manager or equivalent position, in private practice sector
  • Excellent organizational and leadership abilities
  • Outstanding communication and people skills
  • Knowledge of industrys healthcare legal rules and guidelines
  • In depth knowledge of diverse practice functions and operations
  • Working knowledge of data analysis and performance/operation metrics
  • Familiarity with MS Office, practice management software & patient engagement software
