This role will be based in our office in Oakville or Montreal, and reports to the Onboarding Manager.Do not miss the opportunity to join a broad family of people-centric professionals, thought leaders and rapid thinkers, entrepreneurs in spirit and status quo-fighters!Job SummaryReporting to the Onboarding manager, the Onboarding Specialist is a key member of our Learning & Development Centre of Excellence (COE). Responsible for the design, implementation, and maintenance of our onboarding programs, including in-class, online and eLearning programming. The onboarding specialist ensures new employees have a successful and consistent onboarding experience.Principal Responsibilities

  • Handle the launch of new onboarding programs, from beginning to end, including needs analysis to measuring program efficiency
  • Conduct need-analysis, including running focus groups and surveys with key partners in the business to understand the onboarding needs of new hires
  • Collaborate with subject-matter guides within the organization, as well as vendors, to develop onboarding initiatives aligned to the organization’s needs
  • Design, facilitate and maintain onboarding programs using a variety of tools and methods including eLearning, webinar and classroom style to achieve desired outcomes
  • Create and maintain onboarding programs and processes such as onboarding agendas, onboarding LMS, onboarding curriculum, onboarding day etc.
  • Handle onboarding projects using effective project management techniques, including development and maintenance of project plans, handling partners, logistics, and administration to ensure programs are launched optimally
  • Work closely with Talent Acquisition to ensure a positive candidate transition experience from hire to onboarding
  • Support the change management of new programs by working with key partners to obtain consensus, create training materials that support the knowledge of new initiatives and programs and training & communication to hiring managers and HR on onboarding content
  • Support the COE model by delivering Train-the-trainer sessions to local HR team members or other relevant partners who will be supporting the delivery of content locally, ensuring it is delivered in a consistent manner
  • Work closely with Talent Acquisition to ensure a positive candidate transition experience from hire to onboarding
  • Monitor effectiveness of company onboarding and adjust programs based on changing business needs to drive continuous improvement, reduce employee turnover, and increase engagement
  • Collaborate with, and maintain relations with key partners, both internal customers and external vendors
  • Conduct research on current trends and best practices related to onboarding programs
  • Stay current on relevant trends and provide recommendations for ongoing improvements
  • Actively supply to the development and maintenance of a learning culture within the organization
RequirementsQualifications & Experience
  • Post-secondary education in Adult Learning, Human Resources, related field or equivalent experience
  • Minimum 3 years’ experience in a similar or related role
  • Bilingual – English and French
  • Previous experience launching new L&D programs and managing projects
  • Experience in Health and safety
  • Experience with authoring tools (i.e. Articulate) and Learning Management Systems (LMS)
  • Proficiency with Microsoft (Word, Excel, PowerPoint)
  • Experience with Workday an asset

Data Analysis / Needs Assessment
  • Conducts interviews with key partners to investigate their needs
  • Aggregates data to be used for conducting internal and external business analyses.
  • Conducts root-cause analysis to identify problems and barriers experienced by clients and recommend solutions.
  • Applies detailed knowledge of HR industry trends, the organizations strategic direction, competitors, and relevant partners.
