To review the full job description, please visit www.binnoojiiyag.ca/careers.PURPOSE OF THE POSITION:Reporting to the Human Resources Supervisor, the Volunteer Service Coordinator will maintain Volunteer Service coordination for the Agency and ensure that all volunteer services operate within Dnaagdawenmag Binnoojiiyag policies and procedures. The Volunteer Services Coordinator will recruit, screen, select, and train all volunteers whomeet Agency criteria. The Volunteer Service Coordinator is also responsible for scheduling and coordination of all volunteer programs within volunteer services. Additionally, the Volunteer Services Coordinator will be responsible for the development, implementation and evaluation of future volunteer programs for our Agency.RESPONSIBILITIES:

  • Ensure the availability of sufficient qualified trained volunteers to meet the needs of the Agency by carrying out an effective recruitment and selection process.
  • Ensure the recruitment of volunteers is based on necessary and appropriate role specifications and is carried out in accordance with the Agency’s standards, accepted volunteer best practices, and human rights legislation.
  • Ensure all scheduling and records are maintained through the Agency’s data base program(s) to support the coordination of volunteer services.
  • Create, update, evaluate, and facilitate orientation and training for all volunteers in preparation for their potential assignments.
  • • Support service teams and frontline workers to ensure our children, youth and families have access to our volunteer services, as required.
  • Maintain complete and up-to-date volunteer files and all other required records for the Volunteer Services department including Volunteer Service records and volunteer activities, ensuring the Human Resources Supervisor is kept informed and up to date on any significant issues affecting the Volunteer Services program.
  • Ensure the Agency follows all legal requirements as it relates to, and in compliance with all vehicle restraint systems for children and youth being transported through volunteer services and ensuring all seating restraint systems are installed into vehicles correctly.
  • With the Human Resources Supervisor, maintain up to date volunteer services policies, procedures, guidelines, volunteer handbooks and other resource materials in accordance with applicable legislation and Agency standards/service needs.
  • Deploy volunteers in assignments consistent with their level of skill and experience in a manner that best meets the needs of the Agency.
  • In conjunction with the Human Resources Supervisor, provide performance feedback to volunteers on the resolution of performance issues.
  • Provide regular recognition opportunities for volunteers, demonstrating the Agency’s appreciation of their work.
  • Maintain a car seat inventory, including their location, condition, and disposal dates.
  • Attend community and Agency meetings as a representative of the Volunteer Services team, as required.
  • Participate in the development of an overall operational plan for Volunteer Services based on Agency needs.
  • In collaboration with Quality Assurance, compile monthly statistical reports on the volunteer drive program and all volunteer program and services.
  • Ensure adequate coverage for all volunteer programs and determine/resolve coverage issues as needed.
  • Coordinate all volunteer expenses and mileage sheets for authorization.
  • Ensure there is an efficient response to all Agency requests for volunteers and an effective response time to all the requests from individuals to volunteer.
  • Report to the Human Resources Supervisor on any corrective action required for volunteer performance that does not meet Agency expectations.
Program Development and Implementation:
  • Lead in the development, implementation and evaluation of culturally appropriate volunteer programs that align with the Agency’s standards, acceptable volunteer best practices and human rights legislation.
  • Apply an equitable approach to program development that cultivates inclusivity.
  • Collaborate with the internal and external resources including Senior Leadership, Elders/Knowledge Keepers, and Cultural Resource Advisors to ensure effective programming, cultural authenticity and relevance in program design for those we serve.

Education and Experience Requirements:
  • Post-secondary education in Business Administration, Human Resource Management or a related field with a minimum of two (2) years related experience.
  • Experience in a volunteer/staffing recruitment coordination role, preferably in the Social Services sector.
  • Experience working within Child Welfare and/or Indigenous Child-Wellbeing setting would be considered an asset.
