Job Description

Office Manager, Office of the RegistrarSalary Range: $67,553.00 - $84,443.00Durham College is seeking an experienced and self-directed Office Manager to provide senior-level support for the Office of the Registrar. Reporting directly to the Associate Vice-President, Academic (Enrolment and International Education), the incumbent will undertake a diverse range of activities in support of strategic and operational goals, manage relationships across offices within the college and with external stakeholders, and will be responsible for operations activities to support both the Office of the Registrar and International Education. The incumbent will be adaptable and proactive, applying sound judgment while anticipating the needs of and taking actions to support the office. With strengths in the areas of innovation and creativity, the Office Manager will thrive in a fast-paced environment characterized by multiple priorities. The incumbent will approach their work with a professional attitude, demonstrating tact, diplomacy, candor and a highly focused attention to detail. Acting as the central point of contact for the Office of the Registrar, the incumbent will assess and respond to issues both general and confidential in nature, and be comfortable working outside of regular office hours as required to support college business and initiatives, including evenings and weekends.Specific responsibilities include (but are not limited to):

  • Co-leading a cross-functional convocation planning and implementation team, including budget and operations management
  • Anticipating cyclical reporting and planning requirements, to help the AVPA ensure all deadlines are consistently met
  • Gathering accurate information in order to respond to inquiries, requests and complaints
  • Providing administrative support to the AVPA including assisting with various projects, preparing confidential and/or general correspondence, preparing expense statements, scheduling and calendar management for the AVPA, recording and monitoring staff attendance as well as vacation schedules, and booking travel arrangements
  • Coordinating events hosted by the Office of the Registrar and International Education
  • Providing support to cross-institutional committees, working groups and task forces including handling meeting logistics and minute taking
Qualifications:
  • 3-year diploma or degree in Business
  • Minimum of 5 years of experience in a similar role
  • Outstanding written and verbal communication skills
  • Exceptional teamwork skills
  • Extraordinary attention to detail
  • Very strong skills in the areas of calendar management, meeting management, event planning, project management and budget management
  • Outstanding Microsoft Office skills (Word, Excel, PowerPoint, Teams) and Zoom, as well as an aptitude for technology in general
  • Extremely strong interpersonal, organizational, problem-solving and time-management skills
  • Proven ability to build relationships, and to maintain trust and confidentiality
  • Proven ability to consistently meet deadlines
  • Excellent understanding of college processes and organizational structure will be considered an asset
