Job Description

DUTIES:Durham College is seeking a Spa Receptionist to provide reception and administrative services to support the student public-facing operational hours of the Durham College spa. The spa receptionist receives customers and attends to their inquiries about services offered and including welcoming and professionally greeting guests to maintain good relationships and a positive image, keeping accurate records of business transactions by scheduling, receiving payments fielding email, in-person and telephone inquiries along with managing client records and informing of scheduling changes.

  • Review appointments in scheduling software, confirm and re-book client appointments, accordingly, prepare waitlists for high demand appointment dates and times to optimize student learning outcome achievement
  • Perform opening, closing and operational duties as assigned for the Durham College spa
  • Check in, check out, process client payments and retail purchases and rescheduling clients using spa software and chase payment systems at the reception desk for a multi-disciplinary spa facility
  • Account for all payments cross-referencing end of batch settlements and daily spa sales recorded in the software
  • Receive and restock retail boutique inventory
  • Fields and responds to incoming, outgoing phone calls and email inquiries to answer client questions, provide information about treatments, policies, procedures, location, hours of operation, and parking details and schedule or reschedule appointments in a timely manner to optimize student competency acquirement
  • Acquiring client information on health history and indemnity of risk forms, while maintaining client confidentiality and privacy
  • Conduct transitional cleaning in the spa reception area and restock centralized PPE, spa cleaning solutions and supplies in absence of the spa technologist to optimize spa operations.
  • Label, file, maintain and retrieve client files in accordance with regulatory and privacy act standards
  • Liaise with records manager for inactive records to maintain appropriate records management
QUALIFICATIONS:
  • A minimum of a 1-year Office Administrative Certificate is required.
  • A minimum of one (1) year of work experience in a multi-disciplinary spa or clinic setting.
  • Experience in payment processing, client record keeping and administrative data management is required.
  • A strong understanding of prioritization and organizational skills within a high-volume hospitality environment.
  • Requires strong customer service, sales, communication and conflict resolution skills.
  • Requires proficiency in Microsoft Office Suite, and knowledge Customer Relationship Management, and/or health or hospitality related computer software for client scheduling and data entry.
