Job Description

Job DescriptionReporting to the Director of Catering and/or the Director of Conference Services, the Catering Coordinator will be responsible for the following:

  • Prepare and distribute material and correspondence relating to the successful operation of the department such as contracts, letters and banquet event orders
  • Act as the departmental liaison with guests in the absence of the Director and theCatering/Event Managers
  • Assist with Group Pick-up reports, Event order detailing, Group Resumes
  • Book internal hotel events
  • Establish/maintain necessary procedures to ensure other departments are completely informed, i.e.: daily distribution, change log
  • Share mail distribution
  • Ensure prompt and courteous service is extended to both internal and external guests
  • Effectively respond to general inquiries on the telephone and in person, and direct them appropriately
  • Responsible for preparing and distributing the function sheets on a daily/weekly basis.This includes the prompt distribution of last minute changes to affected departments
  • Administrative duties such as lobby board postings, daily signage, preparing weekly agenda and minutes, purchase orders, photocopying, faxing, etc.
  • Assist the Catering and Conference Services as required
  • Other duties and projects as assigned
