Job Description

Position Description:

  • To assist the Marina Manager in carrying out the day-to-day duties of the management of the Marina and in the absence of the Marina Manager, to perform such duties as required ensuring continual delivery of service.
  • Assists with the daily financial transactions and software operating program. (i.e. Harbour Management System and Point of Sales)
  • Assists with staff petty cash floats and daily reconciliation reports
  • Performs office administration duties, which may include answering phone, emails, fax and general inquiries in the absence of Marina Manager or designate
  • Provide excellent customer service for all aspects of the Port Dover Harbour Marina operation
  • Provide support to Port Dover Harbour Marina attendants, patrons, contractors and community partners to help create an environment of teamwork and collaboration. Monitors contractors working on site. Ensures necessary access and compliance of Health and Safety policies
  • Responds to patron/customer needs
  • Assists with assignment of seasonal berthages
  • Ensures safe operating procedures are adhered to for staff and the and well-being of all patrons during the Port Dover Harbour Marina operating season
  • Maintains and models a professional attitude and abides by Port Dover Harbour Marina and Norfolk County policies and procedures at all times
  • Resolves problems and conflicts effectively as they arise, may deal independently with patron concerns and requests and/or work with Marina Manager to resolve issues
  • Ensures all staff are aware of upcoming events and work schedule changes
  • Provides regular updates and feedback to the Marina Manager
  • Assists the Marina Manager in the daily supervision of the marina attendants as well as when Marina Manager is not on available
  • Ensures all supplies, materials and inventory used during the season at the Port Dover Harbour Marina have been returned to designated locations in a disinfected and organized manner
  • Be knowledgeable of all Port Dover Harbour Marina rates and services available on site
  • Maintain daily written records of work related activities, including daily circle checks on all
  • Assists with registering visiting boaters
  • Assists seasonal/transient boaters to tie up and cast off from mooring well
  • Ensure that the Port Dover Harbour Marina Rules and Regulations are adhered to
  • Collects and monitors ramp fees from boaters using daily ramps. Issues receipts
  • Responsible for fuel dock services (adhere to Port Dover Harbour Marina pump out and fuelling procedures when servicing boaters). Issues receipts
  • Conduct dock walkabouts, (to ensure lightening is working, boats are tied properly and safe, that there is no obstacles on the docks and safety equipment is working and in place
  • Safe and efficient operation, care and maintenance of tools, equipment and vehicles (i.e. grass cutting machines, utility vehicle, weed eaters)
  • Garbage, litter and recyclables pickup
  • Candidate must be highly motivated, enthusiastic individual with excellent public relations and organizational skills
  • Responsible for daily reconciliation of Harbour Management System
  • Responsible for daily reconciliation of fuel records
  • Responsible for maintaining up to date patron proof of insurance in Harbour Management System
  • Responsible for billing patrons for use of services within the PDHM (i.e. summer storage, winter storage, dock box, extra tenders, cradle storage), follow up and monitor throughout the season
  • Ensures daily safety logs are properly completed and stored
  • Ensures that MSDS sheets are current and properly displayed
  • Ensures that the Health and Safety bulletin board is current and all necessary items are properly displayed
  • Ensures customer service log is up to date
  • Update and maintain PDHM policies and procedures
  • Ensures that First Aid kits are up to date, and If necessary re-stock
  • Ensures that Public Access Defibrillator (PAD) is maintained properly and in proper working condition
  • Ensures that all fire extinguishers are routinely inspected and in proper working condition
  • Records the monthly water meter reading for harbour
  • Carry out any other duties as assigned by Marina Manager or designate
  • To provide administrative assistance, to pick up/deliver mail as required, order supplies, arrange equipment repairs, maintain mailing lists and databases
  • To maintain and administrate the Harbour Management System and Point of Sale database which includes inputting new user’s information
  • To set up and maintain records management tasks as per applicable in Harbour Management System and Point of Sale
  • To operate the pump-out facility and dispense all fuel on the premises, as required, keeping account on a daily basis of “liters” of fuel dispensed
  • To order fuel – gas, diesel and other miscellaneous items for resale
  • To perform/ensure that any minor repairs or maintenance of the buildings, docks, and equipment is completed, as required, from time to time
  • To maintain the washrooms, showers, docks and grounds
  • Required to provide direction/supervision to Marina students as directed by Marina Manager
  • Laboring duties include climbing, lifting, pulling, balancing, kneeling, stooping, walking, handling materials to assist in the maintenance of Norfolk County facilities and infrastructure. You will be required to work in an outdoor environment
  • Reports to the Marina Manager
  • Other duties as assigned
RequirementsKnowledge and Experience:
  • University/College level of education in a business related course of study plus two or more years’ experience or equivalent
  • Supervisory experience
  • Demonstrated Cash Handling Experience preferred
  • Standard First Aid with CPR Level C preferred
  • Ability to interpret documents related to marina operations (topographic charts, etc.)
  • Boaters Operating Card License preferred
  • Ability to work in a team environment, accept and follow verbal and written instructions, complete duties to an acceptable level of quantity and quality with minimal supervision and follow all of Norfolk County Health and Safety Policies and Procedures
  • Ability to deal with the public courteously and effectively
  • Ability to operate a utility vehicle, hand tools, lawn mower, trimmers and miscellaneous parks equipment
  • Able to lift 30Ibs
Skills and Abilities:
  • Must have Class G Driver’s License and access to reliable vehicle
  • Must have green patch CSA approved safety boots, 6” – 8” to cover ankle, suede or leather
  • Working knowledge of “Fishing and Recreational Harbours Act and Regulations” and “Government Property Traffic Relations”
  • Computer expertise with preference given to individuals with knowledge of corporate standard software (Microsoft Office and Excel)
  • Must be a reliable team player, able to work with and without direct supervision
  • Must be motivated, hardworking individual able to work outside in all weather (hot, dusty, cold, wet)
  • Knowledge of general boat handling, mooring and docking procedures, pump-out and refueling procedures
