Job Description

EXISTING CNC CUPE Employees:For all Administrative postings please disregard the following statement. For CUPE postings please refer to Article 9.01 (d) of the CUPE Collective Agreement to ensure you have met the eligibility requirements to apply to CUPE competitions.Employment Status Part Time Employment Type Fixed Term Job Summary Specific Duties

  • Input and maintain Continuing and Community Education course information in Colleague (student record database)
  • Assist in maintaining course and student statistical information using the registration database and Excel spreadsheets
  • Assist in troubleshooting problems related to the Continuing and Community Education registration area
  • Respond to enquiries in writing, in-person, and phone or through a variety of electronic mediums related to Continuing and Community Education course offerings, payment deadlines, refund policy, reason for de-registration and will refer as appropriate.
  • Assist in the acquisition of materials and supplies and research for materials as directed
  • Maintain inventory and costing lists for materials, supplies and miscellaneous classroom resources needed for class start up including program textbooks
  • Assist with course promotion and advertising including creation, copying, posting of advertising
  • Purchase supplies for program areas and campus activities as directed
  • Certificate production and distribution as appropriate
  • Provide meeting and committee supports as required, including the coordination, arranging (including catering), and set up
  • Assist other campus staff with setting up classrooms and virtual classrooms for instruction, including moving of furniture and equipment, or uploading information into Moodle
  • Assist with annual calendar development
  • Provide back-up coverage for other administrative positions as needed

Skills & Qualifications
  • Minimum one year post – secondary education in Office or Business Administration.
  • Two years relevant work experience working with the general public in a high volume, fast-paced environment; or a combination of education and related work experience will be considered.
  • Demonstrated ability to keyboard 40 wpm with an accuracy rate of 90%.
  • Effective use of current office and computer technology
  • Proficient in appropriate technological resources including the following computer application areas: word processing, spreadsheet construction and application, basic database construction and application, email, internet and web based research
  • Ability to work with a demanding workload, changing priorities, and continuous interruptions and to coordinate activities with the work unit
  • Understanding of and commitment to the philosophy of adult education and customer service.
  • Ability to work independently and meet extremely demanding work schedules and deadlines, over which the incumbent has little or no control.
  • Superior interpersonal skills including the ability to contribute positively to a team oriented work environment
  • Demonstrated experience in exercising initiative in the completing of work assignments together with a demonstrated understanding of the relationship of the responsibilities of this position to other College operations.
  • Experience or training in public services and customer relations.
  • Ability to maintain confidentiality and privacy requirements with regard to the position and to student information
  • Excellent organizational skills including the development and maintenance of short and long term schedules; proven ability to prioritize effectively in a busy environment
  • Proven ability to provide accurate, complete and current information on short notice
  • Proven ability to maintain positive working relationships internal and externally
  • Excellent communication skills including proven experience in dealing with diverse populations as well as unreasonable and upset people
  • High degree of sensitivity to both verbal and non-verbal cues
  • Demonstrated experience in meeting multiple and conflicting deadlines in a high volume, fast-pace environment with short turn-around time where speed and accuracy are paramount, together with the ability in assessing, analysing and understanding logical work sequences and resolve problems such as deadline conflicts
