Job Description

JOB SUMMARYReporting to the General Manager, the Supervisor is responsible for ensuring efficient operation of the front office departments including front desk, night audit, reservations. The Supervisor is to maintain control of and oversee these areas through established systems and procedures while being hands-on in all operations and continually monitoring for alternatives, improvement. This position is also responsible for the well-being and satisfaction of guests from arrival to departure and strives for service excellence. They are also responsible for implementing and supervising various training programs.DUTIES & RESPONSIBILITIESThe following is a list of the essential duties and responsibilities of this job. The tasks and time spent performing each task may vary as business needs require. The management of Amsterdam Inn & Suites maintains the right to modify job duties and responsibilities at its discretion.DUTIES· Implement and follow policies and procedures and standards set by The Quality Inn & Suites Amsterdam·· Identify potential markets to tap into· Be responsible for prospecting new clients· Take responsibility for the efficient operation of the front office by getting actively involved in all aspects of operations· Provide training and assistance to the front desk agents· Enter and maintain configuration data in the front office property management system, phone system , the fax, Reservation and GDS systems, and Microsoft Office (e.g. Outlook Express, Word, PowerPoint, Excel, etc.)· Respond to computer system messages, correct errors, save files, and reboot all interfaces after any system failures· Ensure all reports are run correctly and verify the integrity of those reports prior to distribution· Be responsible for the proper handling of cashier floats, auditing procedures· Be responsible for making and updating policies and procedures for day to day operations of the front desk· Ensure transfers to A/R are accurate, (e.g. no show charges)· Ensures all in-house guest accounts are collected· Greet VIP guests personally and make them feel at home by looking after their needs· Build a proper rapport with group conveners for utmost guest satisfaction and return· Create and control house accounts· Ensure identifiable presence of management at the front desk in order to deal with any guest problems or complaints immediately· Communicate with the Executive Housekeeper and maintenance to ensure the efficient operation of room sales· Define the organization of work within the department including assignments, time schedules and vacations· Help Interview job applicants, complete reference checks, and complete the orientations and training o.f the new hire· Ensure that staff are properly groomed and attired, including complete uniforms· Determine and order any supplies needed and monitor amounts, costs and quality of supplies received· Be responsible for obtaining the highest possible rooms revenue by maximizing average rate and occupancy.· Check area hotels for overflow situations and confirms the validity of reservations· Be responsible for ordering stationeries and maintaining inventory· Act upon guests suggestions or bring them to the attention of the management· Respond to guest comments and complaints in a courteous, prompt, and professional manner· Manage logbook and train staff to log all important information down· Control all keys· Know “Who” and “How” to contact in case of emergency with water, electricity etc.· Determine training programs for front office staff and conduct training sessions· Must be fully prepared for fire alarms and other safety requirements, including emergency medical assistance· Ensure front office staff is fully trained in these procedures· Conduct employee evaluations at least once per year, discipline staff in accordance with company policies and with General Manager’s approval· Perform other duties as they may be assigned by the top management· Room assignments for individual guests as well as groups· Checks OTA’s regularly throughout the day, reconciling previous day’s OTA reservations· Reply to any email correspondence directed to the front desk· Direct billing folios are processed as required·· Have basic maintenance skills – change batteries in door locks, change light bulbs, trouble check TV’s, rtv remotes, change a toilet handle, unplug a toilet, etc)· Complete daily audits, accounts receivable, payroll hours.· Reviewing Conferences and Groups to make sure that all information is correct.· Will work scheduled front desk shifts on a regular bases. Will fill in for all shifts when required.Job Type: Full-timeSalary: $16.00-$17.00 per hourBenefits:
