Job Description

Position InformationPosition Title Program Assistant - OperationsPosition SummaryThe Division of Extended Education at Red Deer Polytechnic welcomes you to join their team as a permanent full-time Program Assistant – Operations. You will be responsible to provide course and administrative support for courses and programs offered through the Division of Extended Education. This includes assisting with course set up, preparing course packages and materials for each course, supporting instructors, students and organizations with class requirements, troubleshooting issues and class follow up.Position ResponsibilitiesCourse DeliveryAssist with set up:

  • Provide instructors, students and organizations support for Lumens login, course information and the registration process when needed.
  • Mange students on a waitlist when a seat becomes available, by notifying the student(s) and overriding registration to input student into the course.
Problem solving, welcoming:
  • Last minute photocopying/printing, technical support for audio visual issues, food order issues, custodial issues, unplanned room setup.
  • Greeting and assisting walk in traffic.
  • Greeting and ensuring instructor has everything needed for class.
Follow up:
  • Review courses in Lumens to ensure attendance and grades are entered by instructors.
  • Notify instructor(s) if grades are not entered in Lumens 11 days after course completion.
  • Submit grades for Banner entry if needed and converts grades into proper format if necessary.
  • Submit all evaluations to Strategic Planning and Analysis, ensuring information is correctly categorized.
  • Cancellations of courses – contact students, implement changes in master checklist, cancel food orders, complete transfer/refund in Lumens and notify accounting of changes, file documentation.
  • Ensure proper letter/certificate is created according to student mark, mail out to student, file documentation.
  • Invoice after delivery of program if a corporate client.
  • Maintain and create spreadsheets as required.
Online Course Training
  • Loading Blackboard content as directed by the Program Specialist
  • Pull/track enrollment reports, create online accounts for students(Blackboard),remove old or existing students/managers from Blackboard, assist instructors in accessing and understanding Blackboard, order manuals/materials needed, ensure letters/log ons/materials are delivered to students, track progress, serve as contact for technical support, responsible for mail out of certificate/letter upon completion of course.
  • Meets required timelines for successful course delivery.
Provide coverage for:
  • Administrative Assistant – Answer phone calls, respond to email inquiries, reception – walk in traffic, check voicemails.
  • Order paper for department, maintenance of printer/copier and re-ordering of toner, provide assistance to Program Specialist upon request, contact previous students about upcoming courses, update statistical forms and spreadsheets.
  • Promote courses when prospective students inquire, creating interest lists when needed.
Required Qualifications
  • Completion of a One (1) year college certificate, one (1) year university or equivalent
  • Minimum one year related experience
  • Experience with Microsoft Office Suite and databases
  • General computer and printer knowledge
Preferred Qualifications
  • Experience with Lumens, Banner, Blackboard, Microsoft 365 and Cognos would be an asset
  • Data entry experience would be an asset
