Job Description

CUPE 5791 Job Family Operational Services Category Staff Number of Vacancies 1 Position SummaryThe Hill and Levene Schools of Business is where responsible business comes to life through education and research. In business education and research, we foster meaningful experiential learning and engagement in local, national and international communities, and demonstrate commitment to inclusivity and social justice. The Schools offer five graduate degree programs, four graduate certificate programs, one undergraduate degree program and one undergraduate diploma program.Reporting to the Program Coordinator, Hill and Levene Schools of Business, this position is responsible for providing various administrative duties in the main office.Primary Responsibilities:

  • Handle convocation administrative processes (collecting and processing application forms, coordinating and communicating with external graduation portrait photographer and graduating students), from initial receipt and review of all undergraduate graduation/convocation applications to conducting degree audits by verifying requirements and entering information into Banner for those students meeting graduation requirements, forwarding a list of graduating students to Executive Council;
  • Handle necessary arrangements for convocation, working with Registrar’s Office staff: arrange student cards and coordinate other staff as needed;
  • Arrange for undergraduate graduation photos;
  • Compose letters of completion requested by students for work visas;
  • Work with bookstore and Hill and Levene professors to order textbooks for classes;
  • Arrange exams for student accommodations: book rooms, arrange for invigilators and any special requirements
  • Process applications for deferred exams & coordinate deferred exams;
  • Gather information regarding academic misconduct;
  • Other duties as required.
Position RequirementsWe are looking for an individual who is passionate about service excellence, excited to work in a fast-paced environment, and is interested in interacting with students from all over the world.Position Requirements:
  • Grade 12 with the successful completion of recognized business course(s) combined with a minimum of three years’ related experience in a position requiring close attention to detail or equivalent combination of education and experience;
  • Completion of some university classes is an asset;
  • Demonstrated knowledge and skill in the use of Microsoft Office (Word, Excel, Access, and Outlook-GroupWise) with preference for experience using Banner;
  • Ability to organize multiple tasks and meet deadlines while maintaining accuracy and strong attention to detail;
  • Ability to deal effectively in a courteous, cooperative and confidential manner with students, staff and the public;
  • Ability to communicate effectively, both verbally and in writing;
  • Ability to understand and execute oral and written instructions;
  • Ability to create, compose, and edit written materials;
  • Knowledge of University policies and procedures and the Hill School of Business programs and admission requirements;
  • Skill in the use of operating basic office equipment.
