Job Description

This position provides complex clerical, financial and administrative support work in the Service Regina Branch. This position is responsible to provide exceptional customer service to internal and external customers and to prepare complex correspondence and reports. This position reports to the Coordinator, Customer Service.Typical Duties Include:Provide administrative support (i.e. reception, typing, photocopying, faxing, filling, mail, equipment acquisition, stationary supplies etc.) to the Service Regina Branch.Compile and prepare complex documents and reports.Process items received by mail including payments for water, property taxes, parking tickets and sundry receivables. Performs cashier duties including receipt of funds and issuance of receipts, cash balancing and preparation of banking forms.Provide customer service for the Service Regina Branch, taking messages and directing customers to the appropriate staff.Delivers/picks up, opens and distributes daily mail as well as other types of correspondence, and directs daily mail to appropriate personnel.Enter, maintain and update the Corporate filing systems and departmental filing systems, including sending and retrieval of record inventory to offsite storage.Maintain database records including the entering and queries that may be required.Prints and distributes financial reports as required.Acts as the Branch contact to update technology and telephone contacts, and emergency contact information.Performs other related duties as required.Candidates will be screened on the following criteria:*** To be considered for this position you must clearly identify your qualifications, experience, knowledge, skills and abilities and where you obtained them in your application/resume. ***Typically, the knowledge, skills and abilities required for this position are obtained through successful completion of Grade Twelve or equivalent, coupled with standard commercial courses and three (3) years related experience in a frontline office environment. Experience in the use of advanced functions of computers including Windows-Based software such as Microsoft Office Suite and a typing speed of 50 wpm is required.Knowledge of the principles and practices related to cash receipts, processing and reconciliation.Knowledge of proper cash handling policies and procedures.Knowledge of business English, spelling, grammar, punctuation and arithmetic.Considerable knowledge of current word processing, spreadsheets and database software applications.Knowledge and skill in the use of modern office filling systems, equipment and procedures.Ability to design, format and /or modify lengthy, complex documents accurately and in a timely manner using advanced features of computer software packages such as Microsoft Word, Excel, PowerPoint and Access.Ability to manage and multitask workload by identifying and revising priorities in order to complete work within deadlines.Ability to provide clear, concise and accurate information and/or explanations to internal and external customers in response to questions, concerns and complaints.Demonstrated ability to provide exceptional customer service through identifying issues, concerns or problems and finding solutions to achieve goals of the Branch.Demonstrated skill in the use of personal computers and Windows based software programs including word processing, spreadsheet, database, desktop publishing and email software.Ability to work independently and/or as a contributing member of the team, exercising initiative and good judgement to complete work assignments and contribute toward a positive work environment.
