Job Description

Please Note: This is a full time, casual opportunity for up to 13 months.This position provides complex clerical and administrative support work in the Service Regina Branch as well as cashier duties related to processing payments, balancing of cash and preparation of bank deposits. This position is responsible for providing exceptional customer service to internal and external customers. This position reports to the Coordinator, Customer Service.Typical Duties Include:Provides administrative support to the Branch (i.e., typing, photocopying, faxing, filing, mail, etc.)Records, prepares, and distributes a variety of materials including memos, letters, agendas, minutes and terms of reference.Directs and responds to Service Requests appropriately, ensuring timely follow-up and closure.Opens and distributes daily mail as well as other types of correspondence and directs mail to appropriate personnel.Develops, maintains and organizes the departmental filing system, following the corporate file plan and records management guidelines.Provide cheque verification and distribution services for Finance.Coordinate City Hall toursCheck and proofread various types of material for accuracy and/or compliance with departmental standards.Processes all departmental invoices, journal vouchers, cash receipts, and purchase/payment requisitions with accuracy and competency as required.Records, transcribes, and distributes meeting minutes.Performs cash management duties including processing payments, cheque runs, preparation of banking forms and balancing.Performs other related duties as required such as ordering office supplies.Candidates will be screened on the following criteria:*** To be considered for this position you must clearly identify your qualifications, experience, knowledge, skills and abilities and where you obtained them in your application/resume. ***Typically, the knowledge skills and abilities to complete this job are obtained through an Office Education Certificate from a post-secondary institution or completion of grade twelve (12) or equivalent, coupled with standard commercial courses. A minimum of three (3) years related experience in a front-line office environment is desirable. Experience in the use of advanced functions within Windows-based software such as Microsoft Office Suite, is required.Thorough knowledge of business English, spelling, grammar, punctuation and arithmetic.Knowledge and skill in the use of modern office procedures, systems and equipment.Knowledge of policies, procedures and practices used within the BranchKnowledge of the general principles and practices of maintaining a correspondence log and records inventory.Knowledge of and ability to effectively use Microsoft Office Suite and corporate applications at an advanced level, including demonstrated ability to create tables, merges, spreadsheets, and reports.Ability to communicate effectively both orally and in writing demonstrating ability to provide clear, concise and accurate information and/or explanations to internal and external customers in response to questions, concerns and complaints.Ability to manage and prioritize multiple work assignments by identifying and revising priorities in order to complete work within deadlines.Ability to work independently and/or as a contributing member of the team, exercising initiative and good judgement to complete work assignments and contribute toward a positive work environment.Banking or Point of Sale experience would be an asset.Working/Other Conditions:This position is located at City Hall. This position may be required to perform superior duties as assigned.
