Job Description

Summary The role of Client Relations Coordinator plays a critical role within the Harbour Landing Village leading and supporting key customer experience, sales support and administrative workflow functions within The Village. In many cases, this role will be the initial point of contact for customers, residents and potential clients and have the unique opportunity to shape the overall village experience for all who walk through our doors.You will work directly with our residents and patrons, and spearhead different projects and activities daily. We encourage teamwork and open communication with our staff and our residents, while maintaining a level of confidentiality.  There is a need for an effective communicator, someone who is able to stimulate and motivate others while being aware of and responsive to their needs and concerns.This position involves guidelines, structure and established policies which must be followed closely, while working with and for others. You will be working in an environment based on teamwork, respect, performance, and responsibility.This position will require flexibility and willingness to complete different tasks; some days may be stationed at the front desk as the primary Concierge member, and others will require resident engagement and coordination. Both functions of this job are incredibly important for an excellent customer experience.RESPONSIBILITIES/DUTIES: Your Client Relations Responsibilities:

  • Ensure a clean and professional first impression for all customers
  • Ensure customer problems are handled appropriately and resolved in a timely manner, escalating issues when necessary
  • Provide concierge services.
  • Complete financial transactions such as hair credits or charge account purchases.
  • Responsible for booking, check in/check out procedures, and assist residents with booking transportation
  • Coordinates new resident orientation and onboarding for long-term and short-term stays
  • Maintain effective communication with residents, volunteers and staff in other departments
  • Assisting in sales events to connect with a vast audience to promote Harbour Landing Village
  • Support and maintain client information accurately and up to date for a variety of documentation purposes.
  • Maintains confidentiality of client and company information and discusses same only with appropriate personnel.
  • Maintain and direct basic cleaning of main floor (excluding restaurants) during the day including washroom checklists, spot sweeping and basic tidiness and Covid-19 protocols.
  • Completing administrative tasks as directed by prioritizing, organizing and executing in a timely fashion to meet deadlines
  • Understand and execute proper protocol during fire alarms and/or emergencies as the lead staff member on the main floor
  • Performs other duties as assigned
Your Companion and Activities Responsibilities:
  • Provide companionship and/or accompany residents to activities and events within the Harbour Landing Village community or external appointments. 
  • Assist in the planning, organization, and implementation of meaningful and fulfilling activities and programs for the residents, in collaboration with the Client Relations Team
  • Encourage and track resident participation in various programs
  • Ensures that the emotional, spiritual, physical comfort and safety of our residents are met to the greatest possible extent 
  • Observe and document client conditions according to Harbour Landing Village emotional or general day to day standards; report unusual events or changes in the client’s condition to the immediate Supervisor
  • Work with a variety of residents that need socialization and companionship, as directed
  • Redirect, de-escalate and provide impromptu activities and suggestions to assist residents and address emotional needs
  • Understand and learn resident profiles and care plans to build personalized and genuine relationships

  • Customer service or hospitality experience
  • First Aid CPR Certificate
  • Transfer, Lift and Repositioning Certificate
  • Food Safety Certificate
