Job Description

Position: DispatcherReports To: Operations ManagerDepartment: OperationsLocation: Regina, SaskatchewanHours: 10 a.m. to 7 pm – Tuesday- SaturdayOverview:Direct the fleet of company drivers and owner operators on a daily basis to meet or exceed customer service expectation. Required to work with operations, warehouse and administrative team to ensure excellent customer service.Key Performance Indicators

    • Must be able to communicate effectively and efficiently through telephone and email to achieve daily goals.
    • Positive communication to drivers in person, phone and e-mail to ensure customer success.
General Duties and Responsibilities:
  • To coordinate the daily supply of driving staff and equipment to ensure high quality customer service standards
  • To ensure the effective utilization of driving staff and equipment to ensure quality control and cost efficiency and meet on time customer delivery expectations
  • Through effective communication with and observation of driving staff, recommend appropriate solutions to day-to-day concerns with the Operations Manager
  • Direct and support of the driving staff to ensure employee and customer satisfaction
  • Ensure all dedicated contract positions are covered on a daily basis as well as contacting all extra customers on a daily/weekly basis to maximize the use of all resources.
  • Provide resources and information to drivers to assist them in performing their jobs to the benefit of the customer and the company. Example, Maps, directions, policies and procedures
  • Manage and direct all incoming inquiries through the dispatch telephone lines to ensure a clear, efficient flow of information to the appropriate people
  • Monitor, measure and offer feedback regarding driver morale, performance and perceived customer service
  • To understand the vision and culture of the company and behave accordingly
  • To represent the company in a positive and professional manner in all interactions both internally and externally.
  • Confirm Drivers are adhering to Company dress code, escalating to Operations Manager if required.
  • Complete a LOG as to what occurred during that shift, units that are broken, or issues that occurred that may affect the other dispatch shift.
  • Work with Fleet Management team to ensure units are scheduled for preventative maintenance, delivered to and picked up from vendors as needed
  • During the dispatch shift overlap, work with other dispatcher(s) to plan for the next day.
  • Be available on-call as required for emergency situations during off peak hours.
  • Respond and comply with other tasks, which may be reasonably assigned during the course of and in addition to the completion of normal duties.
Specific Duties relating to the Evening Dispatch shift:
  • Ensure the drivers have logged in correctly with their Blackberry, escalate if required to Operations Manager.
  • Progress all trips when drivers are complete.
  • Ensure all orders are created and assigned to drivers before work is assigned to them
  • Complete end of day yard check
  • Follow-up with drivers to make sure they are aware of what their duty is the following day, set in A-1 to confirm, make notes as required in the driver’s trip.
  • Provide summary of the daily dispatch to the team to ensure all work is dispatched and confirmed for the next day.
  • Follow up with customer communication to ensure POD’s are submitted as required, provide updates to customers in event of delay
