The Ministry of Education is advancing reconciliation with early years, Prekindergarten to Grade 12, library, and First Nations, Métis and Inuit partners by acknowledging our shared history to build a brighter future together.The Opportunity:The Early Years Branch is seeking a highly skilled, energetic, and well-organized Executive Coordinator. For this position, the individual will be a team player that enjoys designing and refining information flows and office procedures in a fast paced, dynamic branch.To be a successful in this role, you will provide senior level administrative leadership and office management to the Executive Director and the branch by:

  • Managing the Executive Director’s calendar through collaboration, prioritization, and scheduling;
  • Assembling materials for the Executive Director in preparation for meetings;
  • Participating in and coordinating meetings, including distributing agendas and recording minutes;
  • Planning, scheduling and coordinating travel and logistics for meetings, training session and other events;
  • Tracking requests, projects and branch communications and routing through approvals;
  • Drafting, recording, proofreading and/or editing a variety of documents and correspondence;
  • Monitoring administrative processes and making improvements across the branch to ensure optimum efficiency;
  • Providing advice to branch staff on government processes and standards;
  • Verifying, coding, processing, and tracking invoices for approval and payments ensuring policy compliance;
  • Supporting branch with staffing via the government’s talent acquisition program and other human resource functions;
  • Maintain filling and archiving by using ARMS and ORS filing system;
  • Supervise branch administrative staff/students; and
  • Work closely with the administrative professionals in the Early Learning and Child Care Renewal Branch and Deputy Minister’s Office, ensuring coordination and quality products.

You will have knowledge of:
  • Office management and administrative practices, procedures, protocols and equipment;
  • Computer software applications and programs including Microsoft Word, Excel, Outlook, SharePoint; and,
  • Knowledge of government software and data bases would be an asset.
Typically, the knowledge and abilities required for this position would be obtained through the completion of a certificate or diploma in administration combined with significant work experience, leadership in an office manager position, or an equivalent combination of training and experience at a senior level.What We Offer:
