Job Description

Faculty/Department UR International Unit UR International Employee Group CUPE 5791 Collective Agreement Consideration Open with preference given to CUPE 5791 members(NON-RESEARCH). CUPE 5791 Job Family Operational Services Category Staff Number of Vacancies 1 Position SummaryReporting to the Manager, UR International Enrolment Services, the incumbent will be responsible for conducting undergraduate student admission efforts, guiding undergraduate students through the entire admissions process, and the efficient evaluation and processing of student applications for admission, re-admission and transfer (including petitions).The incumbent must also be responsible for assisting in answering inquiries through various communication means (in person, email, telephone, social media, etc.), entering information into Banner, and creating spreadsheets. Additionally, the incumbent will file documents and ensure applications are in order. The incumbent must have the ability to multi-task in a very demanding office environment. In addition, this position is responsible for:

  • Assessing applications and determining admissibility of all international undergraduate applicants to the University of Regina (including the research and conversions required);
  • Evaluating and making final decisions to determine the acceptance or rejection of applicants; advises those not yet admissible on how to gain admission;
  • Ensuring approved policies related to admissions are adhered to;
  • Acting as a key resource on international admission policies and procedures;
  • Assessing transcripts to determine authenticity; ensuring fraudulent credentials are not accepted;
  • Developing and sustaining relationships with potential students, their families, other institutions and agents as it pertains to the functions of our offices; coordinating admissions efforts with the faculties and colleges;
  • Using University database reports to produce, verify and cleanup student data;
  • maintaining and updating the various automated systems such as the letter generation module, the Banner data push jobs, URDocs, and the mass emailing system;
  • Setting up and streamlining the department filing system;
  • Maintaining an ever-changing, in-depth knowledge and understanding of international admission policies and procedures to impart accurate information; disseminating admission, re-admission and transfer information through various modes of communications; drafts unique correspondence for both internal and external clients;
  • Making recommendations to improve admissions processes;
  • Assisting in the training and supervision of student assistants; assisting in the training of new employees in the area of international admissions;
  • Receiving application fee payments and daily cash out;
  • Performs other related duties as assigned including assisting with student recruitment as required.
Position Requirements
  • Grade 12 supplemented by the successful completion of a recognized business course combined with a minimum of five years related experience preferred. A suitable combination of education and experience may be considered;
  • Knowledge of the University community and academic programs;
  • Knowledge and experience in the University’s international admission policies and procedures;
  • Ability to analyze complex problems and develop logical solutions;
  • Ability to work as part of a team, including strong communication skills and the ability to build relationships with domestic and international students, the general public, and co-workers;
  • Knowledge of social media tools such Skype, group chats, individual online chats and mass email products;
  • Ability to make effective administrative/procedural decisions and recommendations based on sound judgement;
  • Ability to maintain confidentiality of records and information;
  • Demonstrated ability to create, compose, and edit written materials and incorporate these into the various multimedia technologies used in the office;
  • Demonstrated ability to organize multiple tasks, while maintaining accuracy and attention to detail;
- Organizational skills- able to multi-task and work in a fast paced environment. Will be interrupted continuously throughout the day with student inquiries;
  • Demonstrated extensive knowledge and proficiency in the operation of complex databases such as BANNER student module;
  • Excellent skill in the use of Word and Excel;
  • Ability to speak additional languages is an asset;
  • Excellent time management and organizational skills are required;
  • Excellent intercultural communication skills; cultural knowledge and sensitivity to provide personalized services and build relationship with University stakeholders.
