Job Description

The successful applicant will succeed in a fast-paced, progressive career, enjoy working with people in a team environment and provide outstanding customer service. Working collaboratively with the existing team and reporting to the Vice President, Residents, this is a full-time salary role designed to manage the customer experience and daily operations for one of Avana’s existing residential rental property portfolios and the associated residents.The Property Manager role is responsible for the complete professional management and overall customer service of their designated property and resident portfolio, acting as the main point of contact. You will work effectively and collaboratively with Avana’s Rental Home Specialists, and Maintenance Managers to provide optimal value for Avana, while ensuring client satisfaction. The successful candidate will be professional, highly organized, efficient and customer-oriented.Key Responsibilities:

  • Promote, ensure and maintain a positive resident experience throughout all resident touchpoints, from initial contact, through possession and through to the move-out.
  • Document all prospect and resident interactions in Avana’s software database and maintain a daily log of calls, emails and showings, including positive feedback and any concerns.
  • Support with reference and credit checks and all other administrative duties related to assessing the viability of prospective resident applications.
  • Finalize all necessary details with residents and execute lease agreements via DocuSign.
  • Complete professional management, acting as the ongoing, primary point of contact for all residents, scheduling and executing walk-throughs, rent collection and arrears management, monthly review and submission of all related reports, and the implementation of existing plan to collect on delinquencies. Review of utility charge report on a quarterly basis.
  • Ensure overall customer service, including implementation of 7, 30 and 90-day resident checks for newly acquired residents. Request of online reviews, including Facebook and Google reviews.
  • Ensure you are well-educated and adhering to the provincial tenancy laws and regulations.
  • Oversee maintenance requests managed by the Avana Maintenance Manager, including delegation and resident survey follow-up. Hire and provide maintenance staff with identified deadlines and ensure they are met. Gather quotes and gain approvals for all maintenance work.
  • Oversee ongoing seasonal maintenance such as landscaping, snow removal and regular cleaning of common areas (i.e. show suite) at the highest standard. Ensure portfolio properties are always well maintained and visually appealing. Oversee quarterly suite inspections.
  • Initiate new relationships with trades and gather pricing information to ensure Avana is receiving the best value. Maintain relationships with all trade partners/vendors.
  • Schedule and maintain a shared calendar in accordance with upcoming lease renewals, move-in and move-out inspections, quarterly inspections and Office of Residential Tenancies Hearings.
  • Maintain accurate record of KPIs for monthly reporting, including existing resident retention client satisfaction and delinquency rates.
  • Collaborate effectively with the marketing team on resident engagement, identifying opportunities by studying our target demographic and current market analysis.
  • Attend and represent Avana at various community events and functions.
Skills and Qualifications:
  • Class 5 Driver’s License with clean driver’s abstract.
  • Possess great customer service, transparent communication, and strong sales skills.
  • Preference to work in a fast-paced environment and a commitment to excellence.
  • Accuracy and attention to detail, with fantastic organizational, problem-solving and time management skills. Ability to exercise tact and maintain confidentiality at all times.
  • Be independent with the ability to be a team player.
  • Marketing knowledge/experience would be considered an asset.
  • Computer literacy is required. You will be required to use Property Management software as well as G-Suite, Adobe and Microsoft programs. Experience with Yardi is an asset.
  • Proven experience in the real estate/property management industry is considered an asset.
  • Preference will be given to applicants with a post-secondary education degree or equivalent experience in a related field.
  • In this position, you need to be flexible to work outside of the regular office hours, including evenings and weekends during busy seasons or times of the month.
Compensation Package:
  • Salary Range: $55,000 - $75,000 based on education and experience. Salaries are reviewed annually in October.
  • Benefits: Dental and medical benefits package. Avana covers 80% of the cost. Option for employee to purchase disability and life insurance.
  • Pension: The Pension Plan will commence in your second year of employment. 2% of salary matched in year two, 3% of salary matched in year three, 4% of salary matched in year four and 5% of salary matched in year five. Avana’s matched portion vests 12 months after the first contribution.
  • Vacation: 20 business days. Must be accumulated prior to taking them.
  • Annual Bonus: Opportunity to earn up to 10% of salary as an annual bonus.
  • Parental Leave: Inclusive of four (4) months of salary top-up, up to a maximum $15,000 total, with ongoing benefits based on the terms stated above. Pension will not apply for the duration of the period of leave. If an employee provides resignation within the 24 months following the paternal leave return date, the total amount of the salary top-up will be repaid to Avana.
  • Probation Period: The probation period is 90 days from the start date listed.
  • COVID-19 Protocol: Avana requires employees to be fully vaccinated. Exemptions may be made for anyone who has a confirmed medical diagnosis with a doctor’s note.
  • Criminal Record Checks are required for all Avana prior to being hired. This is to be obtained at your expense and will not be reimbursed by the employer.
