Job Description

Position descriptionPosition summaryThe alumni relations officer — volunteers and communications will play a leading role with volunteer management and communications that support alumni programming, alumni engagement initiatives, and development initiatives of the University.Specifically, this position will ensure the integrity of alumni and friends contact information, and oversee, with the assistance of staff, all volunteer programs, including the volunteer moves management program, and all communications with alumni, including social media, emails, and announcements.ResponsibilitiesCommunicationsAdvertise and promote events organized by the alumni relations events office to the alumni community using various mediaLead and co-ordinate the writing, design, and production of alumni e-mails and invitations, newsletters and magazine, including printing and mailing of invitations, mass e-mail invitations, and creating invitations on Eventbrite in liaison with other team members and departmentsCo-ordinate alumni communications with the Marketing and Communications teamEnsure integration of Mount Allison branding at all alumni eventsResponsible for managing all alumni social media platforms, the alumni e-mail management system and alumni website, including daily monitoring and responding to webmail and updating pre- and post-event information and photos on alumni websiteResponsible for integrity of contact information in alumni database, including co-ordinating timely and effective follow-up of alumni contact information after eventsCo-ordinate and work with students through the Quadrant InternshipBe part of the Record team to provide regular features (Class Connections, In Memoriam/Tributes)Volunteer managementUnder direction of the director of alumni engagement, administer various volunteer programs, including the volunteer moves management programSupport volunteers throughout all aspects of the volunteer cycle, i.e. recruit, train, ensure safety of, recognize and steward volunteersAttend alumni and other events as required (evenings and weekends)Serve as recording secretary to Alumni Board and co-ordinate Board sub-committeesPromote prospective student receptions each year as requested by the Registrar’s OfficeRecruit and train volunteers for admissions events as requested by Admissions Office (Open Houses, recruitment and retention events)Source alumni volunteers for Experiential Learning and Career Development Office (Reisman and Ignite interns)Perform other duties as assigned.Qualifications/skillsBachelor’s degree or equivalentExpertise in volunteer management and public relationsFive years of progressively successful volunteer and/or communications/ public relations experience preferredUnderstanding of a fund raising environment is preferredStrong organizational, administration, telephone, and interpersonal communication skillsAbility and willingness to attend to detail without losing sight of the “big picture”Solid writing, editing, and presentation abilityProficiency with Microsoft Office suite and social media platformsKnowledge of Eventbrite and e-mail management systems preferredExperience with design software preferredProfessional demeanor, flexibility, and ability to respond to multiple demands and function effectively in a fast-paced multi-event environmentAbility to complete responsibilities with minimal supervision, be both independent and self-motivated while upholding established standardsAbility and willingness to attend events in evenings and on weekendsAbility to maintain Class 5 driver’s licenceThis position is in the bargaining unit represented by the Mount Allison Staff Association.
