Job Description

Position descriptionReporting to the Manager, Bookstore & Support Services, the buyer is responsible for purchasing Bookstore retail products, including but not limited to textbooks, general merchandise, special orders and fine arts products in accordance with University policy and requirements. This position is responsible for making purchasing decisions of a routine nature and performing research related to the buying cycle and special requests from internal, external customers and management. The position oversees the copyright process and the onsite production of photocopied course materials.All employees of Bookstore & Support Services are expected to assist others working in the department during the year. Other duties where assistance may be required include but are not limited to processing transactions at registers, processing & distribution of mail for the University and Students (i.e. covering rounds, processing incoming mail, releasing mail to students), processing ID’s, general Bookstore merchandising and providing printing services. This cross-functional, team approach which requires extra skills be acquired and utilized when necessary to cover services the department provides to the University.Position ResponsibilitiesTextbooks

  • Request from faculty the textbook, e-textbook and course material requirements for each academic term; research and source availability of requirements
  • Identify possible books for textbook buyback and determine quantity and price; coordinate day to day updates during buyback period and adjust inventory as required
  • Identify and order textbook quantities based on inventory, past history, price, and possible class size; identify ancillary guides and solutions manuals; receive course materials & reconcile invoices
  • Process special orders and desk copies for academic and scholarly books for employees and faculty as requested.
  • Prepare worksheet, process, price and maintain an accurate inventory of all lab manuals adopted for courses; verify all copyright information, enter data and maintain the electronic log files; coordinate copyright requests with copyright owners; and assist in the onsite production of all photocopied course material for sale
  • Maintain course lists and other information sources including Bookstore website as it pertains to course material. Keep up to date with publisher changes and trends in the book industry.
Fine Arts
  • Inquire, order, price and maintain accurate inventory for required suppliers for all fine arts courses for each academic term; research & source availability of items and supplemental supplies to enhance the Fine Arts product mix. Process special orders as requested from faculty, students and external clients. Assist with the promotion and marketing of fine arts merchandise.
  • Ensure Material Safety Data Sheets (MSDS) from Fine Arts products are current and available to comply with WHMIS regulations
Merchandise
  • Research, source and recommend and order upon approval branded clothing, giftware and sundry items. Keep up to date with clothing and style trends.
  • Seek manager’s approval for silk-screening, cresting and embroidery of logos to ensure adherence to brand guidelines. Prepare purchase orders upon approval.
  • Select, order and price basic stationary items for re-sale in the Bookstore
  • Receive incoming shipments; reconcile and troubleshoot invoices; and maintain optimal levels of inventory for retail store
Other Duties
  • Supervise and process the sales of textbooks and merchandise to students, faculty, employees and external clients.
  • Reconcile daily cash register sales and deposits. Assist with training and supervision of casual cashiers during heavy sales periods
  • Prepare and reconcile quarterly and year end physical inventory counts, totals and reports as required; identify unsold books for return to publishers; prepare charge backs; supervise the packing and arrange shipping for returns; and process credit notes.
  • Assist and cover for the High-Speed Copy Technician during busy times and during absences from the workplace; accept and process high speed duplicating work orders and operate finishing equipment as required.
  • Perform other duties as assigned.
Qualifications/skills
  • Minimum of two years post-secondary education with courses in accounting, sales; and at least two year’s work experience in a related position
  • Work experience in purchasing, retail or an academic setting is an asset
  • Knowledge of various software systems, such as MS Suite, Colleague, ID software, StarRez, MBS (Arc, Insite & POS)
  • Experience with shipping software programs an asset
  • Experience with high-speed reprographic environments
  • Ability to learn new software/technology
  • Strong oral and written communication
  • Strong attention to detail
  • Proven excellent customer service skills
  • Good problem-solving skills and an ability to manage time in a fast-paced work environment with competing deadlines and multiple tasks
  • Ability to lift heavy packages (up to 25 kgs)
  • Ability to work flexible hours at certain times of the year
  • Valid driver’s license
