Job Description

POSITIONChamplain College Saint-Lambert is seeking the services of an ACADEMIC ADVISOR, to work on a full-time replacement position (35 hours/week) for the Academic Services/Registrar’s Office.FUNCTIONSReporting to the Manager Registrariat and Academic Advising, the incumbent will provide assistance to students in the selection of their programs and courses, taking into consideration the requirements of the many university programs and their prerequisites. He/she also participates actively in the recruiting and admission of students to the Campus and assures the process of transmissions is done in conformity with Ministerial regulations. He/she further acts in an advisory capacity to the management staff in Academic Services in all matters relating to the academic administration of the Campus.MAIN RESPONSIBILITIESAcademic Advising1. Advise students with regard to course selection to ensure that diploma requirements are met;2. Advise students with regard to university programs and entrance requirements; maintain an up-to-date database of university program information, within Quebec, Canada and internationally, and attend liaison meetings at the universities;3. Refer students for career counseling when appropriate;4. Inform and advise students about the requirements for program transfers, and make the appropriate decisions;5. Evaluate student dossiers at the end of each semester to confirm eligibility for the diploma;6. Advise students about course drops and their consequences;7. Inform students about scholarship opportunities, and help to prepare them for their applications.Registration8. Manages program changes, course drops, additional course requests, requests for Continuing Education courses by day students, summer courses, and courses at other colleges (commandites);9. Conducts evaluations and recommendations about requests from students for equivalent credit; consults with the Manager, Registrariat Office and/or Department Coordinator.Transmissions10. Assures the transmissions process for the Regular Day sector meets Ministerial regulations and deadlines.11. Develop procedures and train support staff involved in the transmission process for Regular Day clientele.12. Liaise with appropriate government organizations such as SOCRATE and Ariane.Student Success Measures (Academic Standing and Bylaw 8)13. Apply the relevant articles of Bylaw 8, particularly with consideration for those most at risk; where necessary, meet with students in order to provide them with the tools and references that will help them identify their problems and appropriate solutions; refer students for personal, career or psychological counseling as appropriate; follow-up with them after the mid-term assessment is available;14. Advise students on their academic standing.Recruiting and Admissions15. Actively participates in all aspects of its recruitment activities. This includes visiting high schools and attending the annual recruitment events (Open Houses, High School Guidance Counsellors’ meetings and Information Sessions) during the day, evenings and weekends;16. Advise potential students about admissions requirements while on high school visits.17. Analyze and evaluate student records for admission purposes.Advisory Functions18. Advise the management in Academic Organization about the application of academic regulations, including the local Institutional Policy on the Evaluation of Student Achievement, and also about program curriculum and programming needs, as well as necessary changes to the annual Course Calendar.19. Establish and maintain contact with with other departments such as Student Services.Other20. Participates in meetings of committees and organizations, internal and external as determined by the Dean of Academic Organization.21. Performs all other related duties assigned by the Dean of Academic Organization..Requirements :QualificationUndergraduate degree in an appropriate field of specialization, particularly in Education, Guidance Counselling, Academic and Vocational Information or PsychologyOther RequirementsExcellent command of written and spoken English.Strong command of written and spoken French.Demonstrated aptitudes with computerized systems.Collaborative approach to resolving issues.Detail oriented, ability to work under pressure and meet tight deadlines.Required Tests : The candidates will be required to submit to language tests in English and French.Work Schedule : Monday to Friday from 8:30 a.m. to 4:30 p.m. (The incumbent may be required to attend events held during evenings and/or weekends).Duration of contract : Until February 17, 2023 with possibility of renewalSalary Scale : 48,689.00$ - 83,462.00$Start of Posting Period : 2022-11-16End of Posting Period : 2022-11-22 23:59Champlain College Saint-Lambert, a constituent college of Champlain Regional College, hires on the basis of merit and is strongly committed to equity, diversity and inclusiveness within its community.
