Job Description

The Asset Management Specialist will oversee the daily and long-term strategic management of software licenses and technology-related hardware within Irving Oil. This includes planning, monitoring, and recording software licenses and/or hardware assets to ensure compliance with vendor contracts. The individual will assist in forming procurement strategies to optimize technology spend across the organization. The IT Asset Management Specialist will also help further develop procedures for tracking company assets using our ITSM tool. They will also oversee quality control throughout asset lifecycles.What We Offer:

Your Responsibilities:
  • Develop and enhance methodologies, policies, and practices for asset life cycle management in line with best practice and practical experience as part of a cycle of continuous improvement and compliance across the company.
  • Ensure that asset acquisition, management and disposal processes, including those of external service providers, are conducted in line with corporate social responsibility, environmental and technical policies, applicable standards, legislation and contractual obligations.
  • Develop quality assurance practices and practices for the administration of software license contracts, maintenance, and entitlements.
  • Ensure that all software asset life cycle-related cost and risk is correctly identified, recorded, gather metrics, and publish status reports, as well as enforce mitigation and remediation activity.
  • When required, work with Supply Management to negotiate terms, non-disclosure agreements, and other related issues with consultants, contractors, and other third-party agents.
  • Help supervise the organizations response to software vendor audit or license validation requests, in consultation with the relevant vendor and procurement managers and other appointed delegates.
  • Identify discrepancies in the Configuration Management Database (CMDB) through periodic quality assurance audits and resolve them or escalate them for investigation.
  • Maintain the SAM database, including input and update of data for software assets in relation to requisition, procurement, deployment, maintenance, and retirement.
  • Identifyquot;shelfware quot; (software that has been purchased but is not currently used) and report on recommended actions to reduce cost through license reuse or cancellation of support and maintenance contracts..
  • Schedule, facilitate, and document findings/action items from after-action review (AAR) sessions incorporating learnings from exercises and events into the program as part of a continuous improvement cycle.
Your Skills:
  • Ability to deal tactfully with vendors, suppliers, and contractors who provide a broad spectrum of products and services.
  • Communication, collaboration, analytical, and problem-solving skills are essential.
  • In-depth understanding and experience with ITIL framework and ITSM best practices, specifically asset lifecycle management.
  • Must have excellent interpersonal and team player skills, able to mediate conflicts, recognize options, propose, and implement solutions.
  • Proven ability to analyze information from multiple sources and summarize to enable decision making.
  • Proactive thinker: looks several steps ahead to determine the best course of action and anticipate probable outcomes.
  • Demonstrated ability to coordinate cross-functional teams towards task completion.
  • Excellent written and oral communication skills; able to communicate ideas and changes in both technical and end-user language to various stakeholders.
Your Experience:
  • Minimum 5 years of ITSM related work experience and process management.
  • Post-secondary education in IT, Computer Science, Business, or related field, or equivalent experience.
  • Service Now experience is a definite asset.
  • ITIL Foundations certification, additional certification levels would be of benefit.
  • Strong knowledge of contract, licensing, and data privacy regulations/laws and best practices.
  • Strong and broad technical competence with license management software portals. Specifically, Microsoft.
