Job Description

We are looking for an Administration Technician who has what it takes to support the Colleges ancillary Services, which includes support and development of our rental operations as well as optimizing the potential for new external groups using the facilities at the college.JAC (CEGEP John Abbott College) is a place for those who crave autonomy and want to get involved in their own way.   • Supervise personnel assigned to the rental requests and coordinate all administrative and clerical tasks
  • Organize and monitor workload to respond to the ancillary services needs
  • Compile, prepare and monitor support staff required for special events at the college including athletic events
  • Gather data and compile reports for activities
  • Maintain and monitor an operational budget for the ancillary services department (Sports Centre rentals, Residence rentals, special events etc.)
  • Collect and prepare data to evaluate the needs of rental requests and carries the proper recommendations
  • Organize physical moves and set-ups in conjunction with FMS department
  • Collaborate with College departments in the analysis for new rental request possibilities
  • Administer Student workers required for the rental of college facilities and systematically prepare and send billing to departments or outside groups
  • Responsible for purchase of special materials (if required) and trouble-shooting of all special events
  • Assume initiative and responsibility, show good judgement in emergency situations with parents, s tudents, teachers and outside rental groups
  • Produce a work schedule for rental requests; compile, calculate and bill all users; keep log of time required for billing purposes
  • Review and prepare contracts for all renting groups
  • Perform any other related tasks as may be assigned
Required Qualifications:Education: Cégep diploma in appropriate option or equivalent as recognized by competent authority.Considered a Plus:
  • 2-3 years of related work experience in a similar role
  • Must be able to stand/walk for 7 hours; bend, push, pull; lift 30 lbs
  • Autonomous – able to work with limited supervision
  • Ability to deal pleasantly and efficiently with people
  • Excellent communication skills, including writing, proof reading skills, attention to detail and speaking
  • Must be able to tolerate pressure and work calmly and efficiently during busy times
  • Ability to multi-task (managing multiple projects and work assignments)
  • Excellent interpersonal skills both in person and by phone – maintaining a high level of professionalism
  • Good supervisory skills, motivational skills and time management skills
  • Ability to help promote sales opportunities
  • Flexibility and able to adjust to meet the changing needs of guests
  • Must handle rental complaints according to policies and procedures
  • English (Advanced oral and written)
  • French oral – advanced
  • French written and written comprehension - intermediate
  • Knowledge of IT computer and software – Word/Excel/Windows environment /Internet/Outlook
  • Knowledge of accounting/bookkeeping
  • Additional hours will be required (able to work days, evenings, weekends, holidays) as per need
Testing may be required to demonstrate knowledge of:
  • English (Advanced oral and written)
  • French oral – advanced
  • French written and written comprehension - intermediate
  • Word (advanced)
  • Excel (advanced)
