Job Description

IMPORTANT: Effective immediatelyNOTE: This a permanent position with a temporary layoff that occurs annually the month of JulyEver had a job interview where it just "clicked" Thats what we hope will happen when we meet. We are looking for an Administrative Support Agent who has what it takes to perform reception and administrative duties for the Academic Advising Department, including the first year College Experience Office, promote the varied services available to students and monitor the ongoing statistics related to the operations of the department.JAC (CEGEP John Abbott College) is a place for those who crave autonomy and want to get involved in their own way. If you want to be part of a community where people are all interconnected and really care for one another, keep reading...Role and ResponsibilitiesAt JAC, every staff member contributes to a better world by embodying our mission statement – “to provide an excellent education for our students within a stimulating learning environment that will enhance their development and potential for success in society.” At your level, this entails:

  • Greet students and direct them to appropriate resources
  • Monitor schedules of all Academic Advising staff and book appointments with students
  • Maintain files, records and a general database for departmental documents
  • Maintain an active Academic Advising portal and social media presence, advertisement of workshops and events as requested
  • Let Advisors know when students arrive for appointments
  • Prepare and compile statistical information on departmental usage
  • Enter ARS (Appointment Record System) information in Clara as requested and prepare statistics
  • Assist with student registration
  • Greet University Representatives, sell parking passes, direct them to area of visit
  • Order promotional materials from Universities and keep display stocked
  • Assist Advisors with materials used for classrooms visits, Program and Registration Information Sessions (PRIS) University Workshops, etc.
  • Books rooms, sends out invitations to students and maintains RSVP lists for events such as PRIS, University workshops, etc.
  • Scan documents to student files as needed
  • Create on campus publicity of services we offer students; TV screens, Portal, Print, etc.
  • Occasionally works at the front desk in the Registrar’s Office during lunch hour, breaks, end of day, etc.
  • Performs any other related tasks as requested
Required Qualifications:
  • To have a secondary school diploma or a diploma of vocational studies in an appropriate specialty or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
  • English intermediate - oral and written
  • French basic - oral, written comprehension and written
  • Computer skills (Word, Excel)
  • Discretion
  • Knowledge of the CEGEP system an asset
Testing may be required to demonstrate knowledge of:
  • English – Intermediate oral, written and written comprehension
  • French Basic oral, written and written comprehension
  • Word – Intermediate
  • Excel – Intermediate
