John Abbott College adheres to an Equal Access to Employment Program, and invites women, visible minorities, ethnic minorities, aboriginal peoples and persons with disabilities to submit their applications.IMPORTANT: Effective immediatelyJOB SUMMARY:The Manager, Continuing Education, under the authority of the Director of the Centre for Continuing Education and International Programs, is a member of the management team of John Abbott College.The Manager, Continuing Education, plays an integral part in the delivery of lifelong learning opportunities and labor market training to adult students from a variety of backgrounds. As such, the Manager is responsible for the smooth day-to day functioning of the Centre for Continuing Education. The Manager carries out this responsibility in clear alignment with relevant laws, policies and procedures and in respect of John Abbott College’s strategic goals. The Manager favors a collaborative approach with all team members, is detail-oriented, flexible and innovative in finding solutions and thus contributes to a professional learning and work environment at the Centre for Continuing Education and beyond.DUTIES AND RESPONSIBILITIES:In collaboration with the Continuing Education Management Team, Program Coordinators, Support Staff and relevant College departments, manage and continuously improve (such as, but not limited to):Administrative Operations:

  • Rigorous implementation of contractual obligations, stipulated by external partners, such as Service Quebec
  • Administrative procedures supporting the full cycle of the student academic experience, from program information to diplomation
  • Remuneration processes for part time and contractual staff, in liaison with Human Resources
  • Admission testing procedures
  • Archiving of academic documentation, following ministerial policies
  • Course and program registration and student record transmission, in liaison with the Registrar’s office
  • Procedures supporting the translation of documentation into French
  • Administrative procedures related to staff time management such as reporting of absences, overtime etc, in liaison with Human resources
  • Proctoring services for external clients
Budget Administration:
  • Tracking and reporting on budgets from various sources including Ministère d’ Enseignement Supérieur (MES), Service-Québec and other external partners
  • Projecting, monitoring and tracking operational and capital revenues and expenses
  • Keeping up-to-date with MES and Service Québec finance regulations and changes
  • Initiation, verification and monitoring of invoicing for Training and Service contracts
  • Evaluate feasibility and pricing for customized course content, development and delivery
  • Maintaining transparency, consultation and information flow with Program Coordinators on budgetary decisions
Academic Portfolios
  • Oversee Recognition of Prior Learning Services
  • Oversee academic courses and programs, if required
Facilities & Purchasing:
  • Oversee the physical requirements of the Centre for Continuing Education
  • Liaise with Facilities Management Services and IT department regarding recommendations for purchasing furniture, equipment and renovation requests
General Administrative operations:
  • Oversee the work function of several Continuing Education administrative and professional staff
  • Liaise with internal and external organizations to represent Continuing Education and the College as required
  • Review, develop, document and implement administrative procedures
  • Assist in the preparation and implementation of strategic objectives, annual priorities and departmental work plans
  • Perform other related tasks assigned by the Director of Continuing Education
QUALIFICATIONS:Education:Bachelor’s degree with a specialization appropriate to the employment, an assetSpecific Requirements:
  • Strong understanding of the mandate of Continuing Education in the Quebec labor market
  • A minimum of three years of experience in education and/or corporate training
  • Proven ability to coordinate simultaneous projects
  • Proven ability to develop and implement processes and ensure delivery by established deadlines
  • Demonstrated ability to work collaboratively, mobilize people and teams, and to set objectives and follow through
  • Experience in managing a team
  • Comfortable to mediate in conflict situations
  • High degree of confidentiality
  • Ability to focus on details and broader vision
  • High degree of comfort to work with a variety of digital management systems
  • Strong familiarity with Clara, Omnivox, LEA, an asset
  • Advanced English
  • Intermediate French
  • Computer skills (Microsoft Office, Excel)
  • Strong organizational and leadership skills
  • Highly self-directed and motivated
  • Knowledge of the Québec CEGEP system and familiarity with Continuing Education an asset
Testing may be required to demonstrate proficiency in and knowledge of the following:
  • English - advanced – comprehension, oral and written
  • French – intermediate – comprehension, oral and written
  • Excel – intermediate
  • Microsoft Office - intermediate
