Position InformationPosition Number S00646Position Title Program Administrator, Trades & Projects - Shuswap RevelstokeDivision/Portfolio Regional Dean, Shuswap/RevelstokeDepartment/Program Regional Deans Office, Shuswap/RevelstokeLocation Salmon ArmOther Flexible Work OptionsYour OpportunityUnder the general direction of the Regional Dean, and in coordination with Associate Dean, Trades & Apprenticeship (and as funding allows other Deans and Directors), the Program Administrator is responsible for developing, implementing, and evaluating a broad range of Trades and other targeted courses, program and projects in the Shuswap Revelstoke region.The Program Administrator is responsible for identifying the need for courses, programs, and training projects; planning program content and delivery methods; supporting instructors and faculty in the development of new curriculum; facilitating partnerships with relevant community groups and other post-secondary institutions; facilitating the movement of curriculum and program proposals through the internal governance processes; developing strategic partnerships; and negotiating and establishing internal and external budgets, tuition fees, wages, and funding arrangements, including proposal development.The Program Administrator is responsible for maintaining knowledge of current developments in relevant programming areas and is responsible for developing and maintaining effective working relationships with a variety of internal and external groups which may include other Okanagan College portfolios and administrative departments, Regional Deans, other institutions, external agencies, advisory committees, funding agencies, professional associations, businesses, industry and community organizations.The Program Administrator supports and enhances the efforts of the Dean(s) in fostering a team approach within the region. The Program Administrator works closely with other Program Administrators and campus team in maintaining an atmosphere of cooperation within the region aimed at innovative program development, quality programming, partnership development, and provision of quality customer service.Functions and Duties1. Oversees, plans, coordinates and implements courses, programs, projects and contracts and assists the appropriate Dean in developing procedures for effective course/program development and quality review, including implementation of appropriate follow-up actions.2. Develops and maintains strategic partnerships; monitors internal and external opportunities for new programs and partnerships; maintains knowledge of current developments in areas of responsibility; remains current in regional labour market information; and makes recommendations to the appropriate Dean for new project, program and course ideas.3. Develops new revenue sources and programs for Shuswap-Revelstoke, including the development of feasibility and program/project proposals.4. Prepares course and contract budgets and monitors expenditures and revenues within those budgets, including monitoring revenue and expenditure statements pertaining to programs and projects for which the Program Administrator is responsible, taking corrective action where required.5. Recruits part-time and temporary instructional staff members on instructor contracts, provides for their orientation and training, schedules and oversees their work, recommends appropriate disciplinary action, and conducts performance reviews of their teaching.6. Coordinates with program chairs and manages project priorities, staff requirements and delegates work assignments for project personnel.7. Contributes to student satisfaction by ensuring a quick and appropriate response to complaints, concerns, and suggestions.8. Ensures that staff is familiar with the relevant health and safety regulations and receive proper instruction in safe work practices and accident prevention.9. Develops and maintains effective communication within Trades and between other departments, divisions, faculties, centres, and the external community.10. Liaises and forms strategic partnerships with businesses, school districts, institutions, government agencies, community organizations, and with trades’ professional associations.11. Participates on Okanagan College standing committees and on various ad hoc committees, teams, and task forces.12. Coordinates assigned programs and projects on behalf of Trades and the Regional Dean’s office with respect to curriculum development and design as well as certificate administration.13. In cooperation with the Dean(s), recruiters and other departments, monitors enrollments and develops, implements and evaluates promotional strategies for new courses and programs, including marketing plans, personal contacts, media, brochures and other marketing initiatives.14. Provides information about course offerings and programs to OC Educational Advisors, secondary schools, community agencies, partners and prospective students.15. Maintains and reports statistical and financial data.16. Performs other duties as assigned by the Regional Dean and Associate Dean, Trades & Apprenticeship.Education and ExperienceBachelor degree in related area, with particular emphasis on technical writing, project management and instructional design (Red Seal certification may be considered). At least 4 years of related experience, preferably in a post-secondary education environment, designing, developing or delivering courses or program. An understanding of the BC post-secondary system is an asset.Skills and Abilities
