Job Description

Full Job DescriptionBookkeeper/Administrative & Personal AssistantThis opportunity is a flexible position that reports directly to the owner and deals with companies in the real estate, consulting and investment sectors. While the positions primary responsibilities will deal with bookkeeping, HR, admin and other duties to assist the principal in an administrative capacity are required. The work hours and days are flexible and accommodating.Bookkeeper (approximately 75%)

  • Data entry for quick books system
  • Process weekly payroll timely and accurately for hourly and salaried employees including reviewing timesheets, calculating hours, administering adjustments, and applying deductions (1-3 employees)
  • Prepare filing and payments of all government remittances ie. HST, EHT, payroll source deductions and WSIB
  • Setup new employees and ROEs
  • Recording revenues, rental income and consulting fees
  • All accounts payable and receivable functions
  • Reconcile all accounts including banks, investment statements, credit cards etc
  • Prepare financial reporting to banks, landlord and ownership as required
  • Prepare and maintain general ledger, journal entries and organized files
  • Prepare full financial statements for all companies monthly for review
  • Prepare cheques, electronic payments, credit card payments and deposits as required
  • Other duties as required
Administrative & Personal Assistant: (approximately 25%)
  • Report directly to principal and assist with required tasks
  • Maintain corporate documents, files and records for all companies
  • Maintain property records and documents
  • Scan and digitize paper files for ease of access
  • Assist ownership with various tasks as required
  • Communicate with stakeholders, vendors, contractors sales reps, tenants etc as required
  • Draft correspondence and communications as required
  • Follow up daily on all projects and items that require attention
Required Skills & Education:
  • Minimum College Diploma or Undergraduate Degree preferred but not mandatory with excellent experience
  • Bookkeeping and relevant diplomas are an asset but not required
  • Flexible, priority driven and able to work independently
  • Clear and effective communication and written skills
  • Excellent computer skills and knowledge of Quick Books Online and Office 365
Work Environment, Compensation, Benefits & Work Conditions:
  • Start at $20-25 per hour depending on work experience and education with a 3 month review and annually thereafter
  • Permanent part time – approximately 20 to 25 hours per week
  • Flex Time office hours/days
  • All equipment and supplies provided for ie. computer, printer/scanner, cell phone etc.
