Job Description

You will work closely with the CEO and other Maven team members to ensure company-wide efficiency of communication, organization, and time management.What you will be doing:

  • You will manage the overall administrative duties for the office, ensuring smooth day-to-day operations.
  • Provide day-to-day support to the CEO (and other Mavens) including scheduling meetings, booking of meeting rooms and shared areas, taking and distributing meeting minutes and action items, and following up with team members for timelines and deliverables.
  • Perform a light amount of receptionist duties including greeting visitors, answering and directing phone calls, arranging pick-ups/deliveries, minor shipping and receiving, and filing (paper and electronic).
  • Manage office supplies inventory and place orders as necessary.
  • Manage logistics related to travel arrangements and vehicle rental bookings.
  • Making documents and presentations beautiful through Microsoft Office wizardry, including reviewing, editing, and formatting reports, memos, and proposals.
  • Track/input employee expenses for reimbursement.
  • Assist with bookkeeping entries (directly overseen by bookkeeper and accountants).
  • Coordinate office events such as potlucks, team parties, and celebrations.
  • Oversee Maven’s online presence, including website management and social media engagement.
  • Maintain the organization of online files via SharePoint/Teams
  • Act as a conduit of efficiency for the CEO, enabling more effective focus and time utilization, including organizing and prioritizing critical issues and required to facilitate efficient decision-making.
  • Assist and communicate with leadership in decision-making, program management, and initiative implementation.
  • Independently develop viable solutions to problems as they arise, in consultation with the management team.
  • Assist with health and safety compliance.
Skills & Qualifications:
  • 3+ years proven work experience as an Office Administrator/Office Manager.
  • Office Administrator/Project Coordination certification, designation, University Degree or Diploma in related field will be considered an asset.
  • Solid communication and organizational skills, including multitasking and time-management.
  • Above-average attention to detail, project coordination, and administrative skills.
  • A strong work ethic with the ability to work with minimal supervision.
  • Proven computer skills including use of Microsoft Office (Word, Excel, and Outlook) such as track changes, inserting captions and cross references.
  • Knowledge of QuickBooks will be considered an asset.
Your schedule:You will work a 40-hour week, Monday to Friday, with the expectation that you are available to the team between 9:30am – 3:00pm. Your 40 hours will be carried out in a manner that is efficient and effective for both you and the work needing to be done; however, due to the nature of this position, there may be time where non-typical hours are expected, including responding to emails and messages on evenings and weekends.What can we offer youAt Maven, you will enjoy competitive compensation and a dynamic work environment in a state-of-the-art facility.
