Job Description

SUMMARYThe Permit and Pilot Supervisor is responsible for leadership and supervision of permit and pilot coordinators. Thepermit and pilot coordinators are responsible for securing accurate permits in a timely way,and securing costeffective pilot services. The supervisor is a subject matter expert in the functions of permits and pilots. Dutiesinclude planning, implementing, and executing complex moves and projects involving all types of freight. This positionrequires excellent communication skills, effective time management and the capacity to collaborate with employeesin other departments. In addition, the supervisor is a resourceful negotiator and leader of people and work.KEY RESPONSIBILITIES & ACCOUNTABILITIES

  • Support professional development opportunities for department team members
  • Build effective working relationships built on trust, respect and transparency.
  • Lead, influence, and educate pilot/permit coordinators on Q-Line safety procedures to meet and/or exceed
safety expectations to minimize accidents, moving violations and citations.
  • Conduct staff supervision and evaluation in cooperation with Human Resources Department
  • Work with manager to identify and develop KPIs for measuring performance and develop associated reports
  • Support staff reviews and informal feedback discussions for all staff within your area of responsibility as needed
  • Develop weekly, monthly and annual plans and strategies for developing business and achieving the company’s
short-term and long-term goals with cost-saving initiatives
  • Assist all departments with planning, managing and executing major projects within the scope of Q-Line
business.
  • Assist permit/pilot coordinators with investigating and resolving all permit/pilot-related issues that arise during
pickup, transit, and/or final delivery of loads
  • Develop effective work methods and procedures that ensure adherence to rules, regulations, and operational
efficiency
  • Promote and reinforce Q-Line safe practices and corporate values.
  • Serve as primary point of contact for Provincial and State authorities.
  • Review Provincial and State regulations regularly and notify relevant Q-Line departments of any changes
  • Work with staff and other department managers to conduct root-cause analysis when permit/pilot failure occurs
to identify solutions to eliminate problems in the future.
  • Assist with planning and executing toolbox meetings as needed to ensure customer requirements, including site
safety, are communicated and understood by all involved parties
  • Collaborate with other departments to identify and resolve issues regarding ongoing projects.
  • Work closely with the safety department to develop ensure policy and regulatory compliance
  • Review and resolve inconsistencies regarding charges and invoices for permits and pilots.
  • Collect and review financial data in operating system and adjust pilot and permit data to improve estimating
accuracies.
  • Other duties that may be assigned
DESIRED QUALIFICATIONS
  • Minimum 5 years experience in the transportation industry required
  • Minimum 3-5 years of experience working with permits and pilot vehicles preferred
  • Excellent written and verbal communication skills required
  • Leadership and Management Training course or equivalent preferred
  • Strong negotiation and problem-solving skills
  • Ability to delegate tasks and provide leadership within the organization
  • Ability to use discretion in decision-making within predetermined limits and procedures
  • Ability to work independently and collaborate in a team setting
  • Ability to read and comprehend detailed forms, such as state and provincial rules and regulations documents
  • Knowledge of the transportation industry, including specialized equipment and the ability to understand
engineered drawings of specialized freight and complex transportation moves.Quick Apply
