JOB POSTINGPosition: ReceptionistEmployment Type: Part-time (.2), term position to March 31/23, with possibility of extensionIn-scope position – evening shiftsClosing Date: November 15, 2022Duties and Responsibilities: The Receptionist is responsible for reception duties, clerical duties, support for the office, and client statistical data for evening and weekend hours. Duties shall be performed in a manner consistent with the overall mission and values of the agency. The position reports to the Executive Director.Duties include: · Greet clients, provide general reception services, and general office duties.· Answer telephones using a multi-phone system, receive and distribute messages left on main phone, and provide information as appropriate in a courteous manner.· Maintain office equipment including phones, voice mail system, photocopier.· Receive client payments, create receipts and post all sessions into client database.· Open and distribute mail, post and code outgoing mail.· Maintain client files and database systems, including opening new files, reopening files for returning clients, closing files, inputting information, and preparing monthly statistical reports.· Develop, maintain, and distribute communications (brochures, posters, etc.) using a variety of sources such as email, website, Facebook, Twitter.· Compile information from completed client/group surveys or questionnaires.· Provide clerical support to agency programs, committees, and other programs and projects as required.· Order office supplies and maintain inventory.· Ensure adequate supplies of all forms, group materials, etc. are available.· Prepare monthly invoices for all EFAP sessions.· Complete daily deposit reconciliations.· Balance and reconcile petty cash.· Work to be performed outside of regular operating hours, including evenings and weekends.· Other duties as assigned.Qualifications: Education:· Office Administration Certificate or DiplomaExperience:· One to three years of direct experience working as a receptionistAreas of Knowledge:· Strong interpersonal and communication skills.· Ability to deal with people in unusual or challenging situations.· Excellent ability to organize, prioritize, and manage multiple projects simultaneously.· Computer skills competency required with Word, Access, Excel, Outlook, Power Point, Social Media.· Familiarity with petty cash processes, invoicing, and basic accounting procedures.Final candidates are required to provide satisfactory criminal record checks including a vulnerable sector search and proof of COVID-19 vaccination.This position is in-scope, CUPE Local 5316.Compensation: Pay range of $3,053.47 to $3,324.69 per month (full-time), pro-rated to 20%, based on education and related experience.Submit resume, cover letter and references to:Mail: Martha Hollinger, Executive AssistantFamily Service Saskatoon#102-506 25th Street East, Saskatoon, SK S7K 4A7Family Service Saskatoon thanks all applicants for their interest, however only those candidates selected for interviews will be contacted.Posting opened on November 8, 2022 and closes on November 15, 2022 at 5:00 pmFamily Service Saskatoon is an inclusive organization, welcoming individuals of all abilities.
