Job Description

Student Finance OfficerPrimary Purpose: To provide financial support services to students with the aim of fostering a positive student experience. This position is an integral part of the team responsible for providing financial service to students in the areas of government student loans, crisis aid, and awards. As this is a new position, the portfolio will adapt to changes and evolve throughout the academic cycle.Nature of Work: Reporting to the Associate Registrar (Bursar) and under the day-to-day supervision of the Finance Coordinator, Student Finance and Awards (SFA), this position supports students by helping them understand their accounts. Working in a fast-paced student support environment, this position supports specific functions of SFA such as reviewing and confirming government student loans, entering specific awards, issuing refunds and supporting the crisis aid process. This position will regularly collaborate with the Government Loans Administrator, Student Central Coordinator and Student Central Officers.This position works closely with other staff in Student Finance and Awards, Financial Services, Registrarial Services, and Student Central, as well as the broader campus community, to provide seamless service to students in a busy team environment.The incumbent will be expected to operate efficiently, effectively and independently in a busy, technology-rich environment, subject to frequent interruptions, multiple competing priorities and customer service interactions. There is a high expectation of working without supervision, in determining appropriate action around complex student finance issues and decisions. This position requires cultural sensitivity, compassion, and diplomacy in dealing with a diverse group of clients including students, department staff, and external clients. Attention to detail and accuracy are absolute requirements.The Student Finance Officer is expected to identify problems and take appropriate actions and/or make appropriate recommendations to resolve issues to the Associate Registrar, and to offer business process improvements to unit practices and procedures as required.Typical Duties/Accountabilities:

  • Provide students with timely and accurate information and offer appropriate advice and value-added service on a wide variety of functions including but not limited to the processing of government student loans, review of student accounts, collections, crisis aid, issuing complex refunds and interpreting rules, policies and regulations governing these, along with understanding due dates and penalties.
  • Supports internal compliance of the government student loan programs and works in consultation with the Government Loans Administrator.
  • Provide students with timely and accurate information and offer appropriate advice and guidance on eligibility criteria, appeal processes and rules and regulations governing the government student loans programs.
  • Contribute to and support the collection cycle including the review and investigation on overdue balances. Review and analysis of data and monitoring trends to report to SFA leadership.
  • Use technology, such as Jira Service Desk to improve processes and develop innovative ways to support and streamline delivery of service to our students.
  • Liaise with internal and external units across campus in order to provide efficient, effective and integrated student services and to develop processes and procedures consistent with student-centered service philosophies, policies and practices. Possess the willingness and capacity to be a knowledgeable resource for others on campus.
  • Uphold the University’s fiduciary responsibility by making sound decisions and recommendations for complex refunds and crisis aid funding, through accurate processing of government student loans and by appropriately assessing and interpreting fees and payments on student accounts.
  • Perform a higher level analysis of how complex student situations can be accommodated and work with students to determine the most appropriate course of action to engage them and ensure their needs are met while balancing the requirements of the University’s policies and procedures.
  • Actively participate in both Student Finance and Awards and Student Central initiatives, including analyzing and organizing data, drawing conclusions, development and maintenance of reports, effective communication, implementing effective customer service practices, and making recommendations to the teams that relate to business process improvements, functions and timelines.
  • Contribute to strategies relating to the financial literacy of students.
  • Provide leadership and foster the student-support philosophy by engaging in professional development, and serving as a model of exemplary customer service to internal and external stakeholders.
  • Establish and maintain collaborative, productive and positive relationships across the Teaching, Learning and Student Experience portfolio and the University.
  • Employ higher level independent analytical and decision-making skills in the interpretation and application of rules and regulations.
  • Enact the mission, vision and values as well as the strategic directions and plans of the unit, the University Registrar’s Office, the Teaching, Learning and Student Experience portfolio, and the University.
QualificationsEducation: A minimum of an undergraduate degree.Experience: One to two years of related experience, preferably in a student-centered university environment. Experience in general accounting and financial literacy would be preferred. Familiarity with USask systems such as Banner, Jira Service Desk, Fast and Crystal Reports would be an asset. A demonstrated willingness to facilitate diverse activities to meet the needs of our students.Skills: Successful prior experience in a high-functioning environment; a proven commitment to superior customer service; exceptional communication (written, verbal, and presentation) and interpersonal skills; proven high level problem-solving, critical-thinking, and independent decision-making ability; ability to tactfully and sensitively interact with a diverse community; a high degree of appreciation for confidentiality of information; capability to organize multiple tasks with competing time demands in a dynamic and fast-paced work environment; demonstrated ability to maintain attention to detail; innovative and service-improvement oriented.
