Job Description

HY-TECH DRILLING IS LOOKING FOR A TRAVEL COORDINATOR TO JOIN OUR GROWING TEAM IN SASKATOON, SK OR SMITHERS, B.C. THIS IS A FULL-TIME PERMANENT POSITION.Hy-Tech Drilling’s purpose is to contribute to a better world while building a sustainable and resilient business for our stakeholders. We take pride in the success we’ve had working with our clients to develop innovative solutions for their project challenges and believe in our team’s strength and effectiveness in tackling concerns that may arise.The Travel Coordinator arranges and books all aspects of travel, hotel, and camp accommodations for all employees. For field employees, the Travel Coordinator works closely with the Scheduling team to understand field scheduling needs to ensure travel arrangements meet site requirements. The Travel Coordinator uses strong relationship building collaboration, continuous improvement, and communication skills to develop the field team and provides professional representation of Hy-Tech Drilling at all times. as required.DUTIES AND RESPONSIBILITIES

  • Attend pre-job meetings, and work with the scheduling team to create job travel protocol at the start of a job, while being aware of the pre-access requirements set for the job site.
  • Maintain a thorough understanding of client requirements for accommodation and logistics of incoming and outgoing crew.
  • Complete accommodation and logistic bookings for each job site, as per the client’s protocol.
  • Follow proper scheduling procedures when making travel arrangements for field employees.
  • Complete Crew Info Sheets for scheduling team, filling in travel details, and distributing Crew Info Sheets as needed to provide support for scheduling team.
  • Arrange employee travel, including follow up with travel agent to ensure employees arrive and depart from the job site in a timely, and cost-effective manner.
  • Build and maintain relationships with travel vendors.
  • Ensure that travel information is up to date in the schedule and that employees receive their itinerary.
  • Communicate available travel discounts and group rates to all employees.
  • Review agreements with travel vendors on an annual basis to ensure Hy-Tech is receiving the best deal possible and research alternative vendors when necessary.
THE SETTINGThis position is either based out of the Branch Location in Saskatoon, SK or the company headquarters in Smithers, BC. Office work environment with some travel required. This is an in-person position so the successful applicant would be required to report to Saskatoon or Smithers office locations for workTHE SCHEDULEStandard working hours are Monday to Friday, corresponding with hours of work required in the branch location. There will also be some requirements to be available after hours and on weekends during busy times and to be ‘on call’ some weekends.THE PERKS

WHAT YOU NEED
  • 1 to 3 years of experience in an office environment, using Microsoft Office Products
  • Experience coordinating travel and logistics is considered an asset.
  • Intermediate computer skills in word processing, databases, spreadsheets, email, and use of the internet.
  • Knowledge of general office procedures.
  • Typing speed of 40 words per minute.
  • Must have a valid Driver’s license and must provide a current Driver’s abstract annually.
