JOB DESCRIPTIONAdministrative AssistantAbout UsOpta’s purpose is to be the leading supplier of performance materials and solutions in the steel, infrastructure, and specialty chemical industries. We also offer high-quality slag conditioners, tundish fluxes, ladle sands, and insulators.Position SummaryThe Administrative Assistant will be responsible for maintaining the overall flow of the workplace operations, providing support to other employees and coordinates business communication. The administrative assistant will report directly to the supervisor of the plant location and assist them with various job tasks.Duties/Responsibilities:

  • Answer and direct phone calls, sort and distribute mail, maintain office supply inventory, and other general office duties.
  • Perform all necessary tasks related to Microsoft Dynamics AX including but not limited to; prepare PO, prepare and send requisitions, data entry of PO’s, prepare shipping paperwork (BOL), lookup previous entries, month end maintenance.
  • Distribute production schedules or work orders to departments.
  • Review documents, such as production schedules, work orders, or staffing tables, to determine personnel or materials requirements or material priorities.
  • Requisition and maintain inventories of materials or supplies necessary to meet production demands.
  • Compile and prepare documentation related to production sequences, transportation, personnel schedules, or purchase, maintenance, or repair orders.
  • Confer with establishment personnel, vendors, or customers to coordinate production or shipping activities and to resolve complaints or eliminate delays.
  • Confer with department supervisors or other personnel to assess progress and discuss needed changes.
  • Maintain files, such as maintenance records, bills of lading, or cost reports.
  • Record production data, including volume produced, consumption of raw materials, or quality control measures.
  • Complete weekly production tracking sheet.
  • Performs other related duties as assigned.
Required Skills/Abilities:
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite with the ability to learn new software.
  • Excellent organizational skills and attention to detail.
  • Ability to operate general office equipment.
  • Ability to function well is a high-pace and at times stressful environment.
Education and Experience:
  • High School diploma or equivalent
  • Two year of administrative assistant experience preferred.
  • Experience using Microsoft Dynamics AX an asset.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
