Job Description

This position will provide administrative support to the Senior Administrative Team. This detail-oriented administrative professional will manage, maintain and facilitate the functions of the Senior Administrative Team and maintain an efficient office communication network to link the Division.Job Duties include:

  • Act as a liaison and provide support to the Board of Trustees. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Complete a broad variety of administrative tasks that facilitate the Superintendent/ CEO’s ability to effectively lead the organization, including but not limited to assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties along with composing and preparing correspondence.
  • Work closely with the Senior Administration team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Ability to work on and prioritize a wide variety of tasks simultaneously.
  • Ability to answer telephone enquiries and transfer calls to the necessary areas.
  • Review and update the website as required.
  • Other projects/duties as assigned.
Requirements:
  • High school graduate or equivalent.
  • Office experience in a senior administrative position.
  • Business training or administrative diploma preferred. Skills to be updated regularly to stay current with new technology.
  • Familiarity with school and divisional regulations, policies, and guidelines would be an asset
  • Demonstrated knowledge of and experience with Microsoft Suite.

  • Ability to work under high pressure and be able to adjust to complex schedules and work levels.
  • Work independently with the ability to problem-solve.
  • Ability to deal with difficult and sensitive situations in a professional manner.
  • Strong organizational and time management skills with the ability to work set priorities and meet deadlines.
  • Superior ability to work cooperatively with a wide variety of staff, trustees, parents and the public.
  • Respect confidentiality of the work
  • Excellent verbal and written communication skills.
