Job Description

OFFICE CLERK - TERM FULL TIME - RED RIVER PLACEReports to the Administrator. Manages all aspects of the business systems/office which include providing secretarial support for Administrator and other supervisory staff for the facility. Handles all accounting and payroll duties and acts as receptionist as required.DUTIES AND RESPONSIBILITIES

  • Plans, organizes, directs and supervises the activities of the business office. Establishes and monitors workflow. Evaluates performance and makes changes as necessary to improve quality of service.
  • Selects, supervises and motivates office staff. Develops departmental goals and objectives. Plans and encourages staff to attend in-service education programs.
  • Implements policies and procedures in accordance with legislative and company regulations and standards.
  • Adheres to established policies and procedures regarding quality assurance, fire, occupational health & safety, environment and infection control.
  • Completes routine forms as required or directed. Maintains current knowledge of information required by various government or other agencies regarding residents.
  • Types correspondence including confidential material. Orders office supplies from designated suppliers.
  • Maintains internal records and prepares internal reports for facility as required. Maintains confidentiality of all financial, personnel and resident data.
  • Maintains records such as accounts payable or receivable. Assists with the collection of overdue accounts.
  • Handles payments from families and all queries concerning billings from residents and/or families.
  • Maintains resident trust accounts in accordance with legislative requirements.
  • Prepares bank deposits. Handles and balances petty cash for the facility.
  • Prepares payroll data for computer processing against tight deadlines. Identifies pay anomalies from familiarity with facilitys practice and obtains resolution from appropriate authorities.
  • Maintains knowledge of various pay rates, conditions of collective agreement(s), overtime and sick pay arrangements, holiday pay, etc. Answers routine questions and explains deductions or provides other information to employees or employees supervisors.
  • Greets visitors, determines purpose of visit. Directs visitors to proper location as appropriate. Informs staff of visitors arrival. Presents a positive image of the facility to the public. Monitors comings and goings of residents from facility.
  • Answers telephone. Places outgoing calls as requested. Maintains records as required.
  • Other duties as assigned by Administrator.
WORKING CONDITIONSConsiderable periods of concentrated visual attention to figures and documents. Required to sit in one place for extended periods of time and exposed to computer screens. Stress resulting from deadlines and frequent interruptions.
