Job Description

CompetitionPosted Nov 10Type Full-timeDescriptionDivision SecretarySouthwest Horizon School Division is looking for an experienced secretary to provide confidential administrative, secretarial, and clerical support within the Superintendent’s Office in the Souris Division Office. The role contributes to the efficient operation of the division by ensuring that support services are provided effectively and efficiently.Key responsibilities include:

  • Perform administrative and secretarial support to the Superintendent and Secretary- Treasurer (correspondence, research, filing, emailing, photocopying, etc.), as required.
  • Type and distribute Board agendas and minutes.
  • Maintain up-to-date Policy Manual and Administrative Manual.
  • Maintain up-to-date Human Resources Manuals, directives, and organizational charts.
  • Update and maintain the school division website.
  • Create and maintain staff databases to include accurate reporting of evaluations.
  • Create and distribute job postings for professional and support staff positions. Prepare interview packages as required.
  • Receive, prepare, and organize casual employees, ensuring all necessary checks and references are provided.
  • Plan, develop, coordinate, implement and maintain effective electronic files and keep correspondence and reports available for reference and efficient operation on both computer and email.
  • Collect and distribute various reports and data received from schools.
  • May also be a requirement for cross-training with other roles.

Education and Experience:
  • Appropriate post-secondary education is preferred.
  • A minimum of 2 years related experience.
  • Strong computer skills: MS Word, Excel, Outlook, Internet, etc.
  • Accurate keyboarding skills.
  • Excellent communication skills, patience, enthusiasm, and flexibility.
