Job Description

WolfTrek is an Indigenous Owned Technical Staffing contractor based in Western Canada. We are currently hiring for an experienced and qualified Project Administrator for our client in theSparwood, BC region.This is a contract role reporting to the Environmental Coordinator and will be responsible for supporting the Sciences Team to fulfill compliance obligations associated with client authorizations. Key focus areas for this role are to support the administrative tasks associated with managing an extensive budget and facilitating communication between an external technical working group and the team. To be successful, we are looking for someone with strong time management, interpersonal and communication skills who can work independently with minimal supervision. The ideal candidate will be someone with excellent problem-solving skills who is detail-oriented and can multi-task competing priorities in a team environment. This role #39;s focus is supporting multiple administrative tasks, therefore excellent organizational skills are vital. This is a core function support role with an opportunity for extension. Responsibilities:

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures.
  • Provide budget related support, (invoicing, accruals, forecasting, planning etc.)
  • Act as a liaison between the Sciences team and Accounts Payable dept.
  • Maintain good relationships with vendors by ensuring timely payment.
  • Act as a liaison between the contractors and technical teams, supporting effective communication.
  • Manage the administrative tasks of an external contractor yhandling the flow of documents and information between the company and contractors; track action items and advice/input tables; schedule and attend virtual and in-person meetings; and assist internal staff and consultants to meet contractors requests, commitments, and deadlines.
  • Execute basic project management skills related to document formatting, scheduling, and reviews.
  • Support internal and external SharePoint sites for the team.
  • Perform other tasks and responsibilities as assigned or required.
Qualifications:
  • Proven administrative experience with a track record, including organizational and effective support for multiple environmental projects.
  • Diploma or bachelor #39;s degree in a related field such as Project Management, Administration, Finance, Business Management with relevant work experience.
  • Experience overseeing a budget, including invoice approvals, accruals and forecasting. Ability to navigate accounting software is considered an asset.
  • An interest in the field of environmental science and biology is considered an asset.
  • Experience using the suite of Microsoft Office products, specifically Microsoft AX, Excel, Word, PowerPoint, and SharePoint.
