Job Description

JOB POSTINGADMINISTRATIVE ASSISTANTCommunity Support Services of Niagara (CSSN) is currently seeking a full-time permanent (35 hours per week) Administrative Assistant to add to our team. CSSN is a volunteer based, not-for-profit agency providing comprehensive support services to assist seniors and adults with disabilities to live independently in their homes. Reporting to the Executive Director, the successful candidate will perform a wide range of administrative and office support activities to facilitate the efficient operation of the organization.Responsibilities:

  • Provide exceptional customer service as a front-line ambassador of CSSN by answering incoming calls and inquiries received by fax and email as well as greeting and responding to walk-ins.
  • Manage all incoming and outgoing mail.
  • Coordinates layout and production of the agency generated newsletters & maintain mailing lists.
  • Update and maintain brochures, administrative forms, policies, and other documents as required.
  • Maintain appropriate directory structures and organize both hardcopy and electronic files on the agency server, including overseeing annual archiving and shredding
  • Assist with the coordination of the monthly invoicing process.
  • Completes the weekly revenue deposits, in coordination with Financial Administrative Assistant.
  • Develop marketing materials as requested by agency committees.
  • Record, distribute and file meeting minutes as requested by the Executive Director.
  • Coordinates the monthly distribution of Board of Directors meeting materials.
  • Run monthly statistical reports and maintain client database.
  • Set up and order office stationery, business cards and supplies for all offices; and other orders as needed.
  • Oversee, coordinate, troubleshoot and ensure IT, phones etc., supports are meeting the needs of the agency.
  • Assist the Executive Director and/or Senior Management Team with other tasks as directed.
Job Requirements:
  • Office Administration certificate from a recognized educational institution and two years related experience
  • Excellent interpersonal skills
  • Strong written and oral communication skills
  • Previous experience in administrative and financial processes
  • Strong organizational skills
  • Ability to work independently with minimal supervision
  • Ability to work in a team environment
  • Proficient in Microsoft application software/programs, database management and other publishing software programs
  • Experience in not-for-profit environment preferred
  • Experience working with seniors an asset
  • English/French fluency would be an asset
