EMPLOYMENTOPPORTUNITYPUBLIC SCHOOLSBRANCHEXECUTIVE ADMINISTRATIVEOFFICER – LEVEL 13LOCATION: STRATFORD EXCLUDED FULL TIME PERMANENT POSITION - EffectiveImmediatelyOPEN TO THE PUBLIC This confidential executive administrative officer position is with the Corporate Services of the Public Schools Branch and reports to the Director of Corporate Services. The Director of Corporate Services position has a broad latitude responsible for payroll, finance, property services and school safety services. The administrative officer works independently and is responsible for organizing and prioritizing the workload assigned. This position supervises staff, provides leadership and guidance to groups of administrative assistants, provides staffing allocation recommendations and provides a facility management role. Duties and Responsibilities: Provide confidential administrative support to the Director of Corporate Services;Liaise on behalf of the Director of Corporate Services with Senior Management Team (e.g., reported incidents involving students, staff, property, public, government agencies) staff, officials of other organizations and the public to give or obtain information, to provide advice, or to relay instructions, frequently requiring considerable collaboration and discussion; Provide guidance and support to all administrative assistants within the Branch (including School and Branch Based administrative assistants); Analyze and prepare recommendations regarding the allocation of the Administrative Assistant FTE (full time equivalent) throughout the system; Develop/organize and coordinate training and development for administrative assistants including one-on-one training when necessary; Prepare and present information regarding technical or training materials, when necessary; Supervise and provide guidance/leadership to the Front Desk Administrative Assistants and Custodian at the Stratford Branch Office and supervise and/or train relief and substitute Front Desk Administrative Assistants and Custodians;Manage the scheduling and backfilling for these positions during both short-term and long-term absences in accordance with the collective agreement requirements;Provide performance reviews and provide feedback to employees;Responsibility for managing the PSB building in Stratford ensuring the building is a safe workplace for PSB employees;Liaison with landlord (Stratford Town Hall) including troubleshooting and/or report problems with heating, plumbing, electrical, security and property and manage the security access for all employees of the Stratford office (assign keys and alarm codes); Troubleshoot computer software programs/printers/laminator; Responsible of overseeing the courier services between PSB offices/schools/Department of Education and Lifelong Learning; Other related duties as required.QualificationsMinimum Qualifications: Successful completion of post-secondary education in a recognized and relevant administration/business type program; Extensive recent and relevant experience in providing (executive level) administrative support to senior positions*; Extensive recent and relevant office experience performing administrative support that would include independent decision making, dealing with confidential matters, ability to take direction well and working with minimal supervision; Advanced experience and demonstrated abilities using word processing, database management and spreadsheets (Excel) is required; Excellent communication skills, both oral and written, including e-mail and demonstrated excellent interpersonal skills, demonstrating a high level of compassion and diplomacy; Strong analytical, decision making and critical thinking skills; Demonstrated organization skills and the ability to work independently and demonstrated ability to work well as part of multiple teams; Experience in undertaking independent projects of research and analysis with minimal direction and supervision; Ability to work with a demanding workload and competing priorities and ability to function in high stress situations; A thorough knowledge of the interrelationship within the board is required;Other Experience working with the public education system, or a with Director would be considered an asset; Recent and relevant supervisory experience is a preference; Experience working in other Corporate Services departments would be considered an asset; Experience in maintaining fiscal and personnel budgets would be considered an asset.
