Job Description

Overview of position:As the first point of contact for Scoular customers, the Office Assistant’s primary responsibilities are for the maintenance of the front office facility area, the greeting of guests as they arrive, and the effective management of incoming business telephone calls. This includes screening incoming calls, managing multiple calls, correctly directing calls, and handling all calls in a courteous and professional manner. Handles daily mail distribution. The Office Assistant will do some data entry, record keeping and courier/mail handling. Administrative duties include typing letters, memos and other Word and Excel documents as requested, ordering office supplies, inventory, filing, mail and FedEx packages and miscellaneous office projects when needed.This position is based out of our Runciman SK facility, approximately ten miles north of Tisdale on HWY 35.Job FunctionsThe total percent time must equal 100%.1Reception, Public Contact and CommunicationsReceives and directs incoming calls and messages in a courteous, prompt, accurate, and professional manner. Learns to recognize frequent callers by their voices, help customers determine their needs and meet those needs. Masters the use of telephone features, including call transfers, voice mail, intercom, and night ring service. Monitor phone equipment of any hardware or software problems, coordinate repairs. Greet guests in a professional, friendly, hospitable manner.402Office Coordination Copy, collate, and assemble documents as requests. Perform data entry as assigned. Coordinates meetings and video conferencing. Maintain and order office and kitchen supplies. Open and close visitor area including preparing the break room on a daily basis (i.e. loading and unloading dishwasher, cleaning coffee machine)203Administrative SupportAdministrative duties include typing letters, reports, memos and other Microsoft Office Program documents as requested (i.e. Word, Excel, PowerPoint presentations). Arranging interview schedules, setting up and communicating arrangements.204Shipping/ReceivingCollect and process incoming mail from the post office and process and deliver outgoing mail. Sign for courier deliveries and prepares courier packages for delivery.105Perform a variety of clerical dutiesHelping with the distribution of cards and gifts for holidays and special occasions (i.e. New Hires, Scoular Anniversary program.10In performing their responsibilities, employees are expected to perform quality work within deadlines with or without direct supervision, interact professionally with other employees, customers and suppliers, work effectively as a team contributor and independently while understanding the necessity for communication with other employees and throughout Scoular.Job RequirementsEducation, licensures, certifications, prior work experience, knowledge, skills and abilities, travel, supervision (etc.): Minimum

  • High school diploma or GED.
· Knowledge of MS Office Suite (Word, Excel, Outlook, Access)· Adaptable and ability to learn quickly· Ability to multi-task
