Job Summary:HOOPP #39;s Private Investment portfolio has grown to over $22 billion and includes investments throughout North America, Asia and Europe. The portfolio holds direct investments in private enterprises, as well as indirect investments through limited partnerships. The varied nature of the investment structures and geographic locations results in different reporting standards, income tax implications, and foreign exchange considerations. HOOPP will open a London office in 2024 to drive further growth in direct Private Assets in Europe.The Associate Director will oversee the investment operations for the private equity, private credit, venture capital and infrastructure portfolios and will report to the Senior Director, Private Equityamp; Infrastructure, Investment Operations.What you will do:Leadership
  • Responsible for managing a team of two Finance professionals, including mentoring and working with the team to set professional development plans.
  • Accountable for leading the team through the daily investment operations and monthly and year-end reporting cycles.
  • Responsible for recruiting initiatives for their team depending on priorities to address resource and operational challenges.
  • Act as subject matter for the team and other stakeholders on complex investment operational issues.
  • Continuously pursue and integrate industry best practice for operational processes.
Investment Accounting
  • The focus of the Associate Director role is to supervise team members and oversee that the operations of the private equity and infrastructure portfolios are properly and accurately reflected in the private equity system (Investran) and to serve as a liaison for Investment Management teams.
  • Responsible to review and approve the accuracy and completeness of investment information in the system for the set-up of investment details, recording of daily cash transactions, and fair value changes of investments.
  • With support from the Senior Director, collaborate with Investment Management teams and provide guidance to their team members on complex transactions, acquisitions and dispositions to ensure that the transactions are properly recorded in the system. Review legal agreements to understand structure to ensure the transactions, new investments and dispositions have been booked appropriately to ensure HOOPP is not off-side with tax structures.
  • Review and post daily journal entry transactions prepared by their team members.
  • Respond to ad-hoc requests from Investment Management and other divisions within Finance and provide materials and analysis as requested.
  • Review the preparation of the daily hedge report.
Financial Reporting
  • Manage the monthly, quarterly and year-end financial reporting and preparation of working papers for the Private Investmentamp; Infrastructure portfolios. The responsibilities include reviewing all material prepared by the senior analysts for month-end and year-end reporting including:
  • operational activity for the month, quarter and year ends
  • reconciliations to cash
  • various schedules supporting the monthly, quarterly and year-end close
  • investment summary documents
  • all valuation entries uploaded to the system
  • reconciliations to Oracle and uploading information to Oracle
  • financial statements of externally managed funds and assess movement in net asset value to support the explanations for material changes
  • calculation of investment returns of the portfolio and provide to Investment Reporting and Investment Management monthly for HOOPP fund performance reporting purposes
  • Review the accuracy and completeness of compliance analysis and investment activity, monthly, to ensure private equity and infrastructure portfolios are compliant with HOOPP #39;s Investment Policiesamp; Guidelines.
  • Accuracy and completeness are also critical in ensuring Private Assets are captured appropriately in HOOPP #39;s financial statements as well as monthly performance reporting. Investment Management is reliant on correct information to base investing decisions.
Audit
  • Manage the external audit process, including:
  • Act as the lead liaison with the auditors.
  • review the working papers and supporting documentation for financial statement notes and variance analysis. Respond to queries from auditors.
  • Bring forward issues identified during the audit to the attention of the Senior Director for discussion and resolution.
  • Support the Internal Audit and Internal Controls Financial Reporting processes, as required.
  • Manage the internal audit confirmation process and work collaboratively with Investment Management team and auditors regarding audit confirmations, audit requests, and annual questionnaire processes.
Other
  • Identify opportunities for process improvements such as automation of processes, working paper files, and workflows, where appropriate.
  • Lead and execute, in consultation and collaboration with Senior Director, operational process improvements, engage in initiatives to automate and improve reporting from the Private Equity system and other automation processes, where needed.
  • Review completion of post month-end portfolio metrics reporting and various other reporting.
  • On a quarterly basis, complete the management fee analysis update. This a key metric used by both Investment Management as well as Board reporting.
  • Assist the team members with daily, monthly, and year-end activities, as required during peak periods.
  • Lead the recruitment process for new staff members, in collaboration with the Senior Director.

  • Solid knowledge of private investments operations
  • Prioritize and produce workload in a timely fashion to meet deadlines
  • Degree in Business, Finance or related discipline or an accounting designation (CPA)
  • 5+ years of operational experience in investment or fund accounting for Private Investments
  • Experience with Investran reporting system is a strong asset
  • Strong MS Office skills
  • Strong interpersonal and collaboration skills
