Join us and put yourself in good company!We are looking for a Coordinator, Hospitality Services for a 12-month contract to cover a leave. As a key member of the Client Services team, you will be reporting to the Team Leader, Client Services. In this role, you will be responsible for exceptional customer service to internal clients, as well as participate and support in various initiatives across the firm.This position requires flexible hours to accommodate the firm’s needs.Scope of Responsibilities:

  • Oversee daily catering orders and ensure adherence to budget requirements through coordinating and corresponding with caterers, including sourcing from local stores/markets when necessary
  • Monitor and respond to client requests and inquiries that come through the Hospitality inbox and act quickly to resolve any issues, or meet last minute requests
  • Reconcile, code and submit invoices by maintaining good process to monitor and track invoices
  • Follow up with vendors when there is a discrepancy; perform quarterly invoice reconciliation to ensure all invoices have been captured
  • Utilize meeting room booking tool (Rendezvous) to pull daily operational reports, input and track costs/budgets and confirm food and beverage (catering) services are arranged and documented in Rendezvous as per client requirements; review daily/weekly meeting requests
  • Monitor and maintain Hospitality inventory stock levels; including placing supply orders with vendorsand reconciling shipping manifest when stock arrives; maintain storage rooms/areas
  • Assist Event Team with event preparation ensuring supplies are available and set up as needed; update Banquet Event Order’s with Hospitality portion of event flow
  • Maintain relationships with suppliers and vendors; source and recommend new offerings as needed; keeps abreast of industry trends
  • Maintain and adheres to firm guidelines on cleaning, ensure best practices and service standards are being met during set-up/clean-up
  • Support Hospitality Team with organizing and preparing for daily catering request set ups/clean-up; ensure all meeting requirements are placed in meeting room prior to start of meeting
  • Provide assistance within the Hospitality Team during absences and as business volume dictates
  • Other duties as assigned.
Requirements:
  • A high school diploma or higher
  • 1-2 years of relevant experience within a professional services environment
  • Basic proficiency in MS Office applications including Word, Adobe, Outlook, Excel, Teams and PowerPoint
  • Proficiency in role-specific software, including meeting room software and document management software
  • Discretion, confidentiality and attention to detail are essential
  • A team player who takes initiative and works well independently
  • Solid writtenamp; verbal communication skills
  • Demonstrates excellent client service and ability to anticipate client needs
